Fraudulent recruiters have been using social media platforms to dupe potential job seekers into divulging personal and financial information.

Sophisticated frauds, involving grooming of targeted individuals, show the fake recruiter asking the unsuspecting job seeker to take part in a fake job interview, either over the phone or via WhatsApp, and also sending fraudulent follow-up correspondence offering job positions. Any communication about jobs at Oxford University Hospitals will come from 'Trac', or via an ouh.nhs.uk email address.

All meetings and interviews will be scheduled on Microsoft Teams from a verified OUH email account.

Job overview

The purpose of this role is to provide an efficient and high standard of clerical service within Maternity; to ensure that a welcoming and professional service is provided to patients; to ensure the smooth running of admin & clerical processes within the Maternity service.

This role is to provide admin support to multiple community midwifery teams.

Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care and can make a real difference to the patient experience. Effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources.


Main duties of the job

We are looking for an enthusiastic, motivated and well-presented individual to join the admin team with in Maternity. If you would like to make a positive contribution to a patient’s care experience and are a good communicator with excellent interpersonal skills, enthusiastic and adaptable, then we would like to hear from you.

The purpose of the role is to provide a professional, efficient and friendly service ensuring that all aspects of administration within Maternity are performed to the highest standard.

A key element of the role is the ability to use judgement and initiative to deal with the day to day patient queries/issues raised, liaising and communicating with the wider Maternity admin & clinical teams as needed.

You will need to have a flexible approach to work, be highly organised, enjoy working individually as well as part of a larger team and have good keyboarding skills. Knowledge of EPR is desirable but not essential as training will be given. With this role you will become part of the wider administrative team within Maternity with numerous opportunities for progression.

Detailed job description and main responsibilities

* Booking, rescheduling & cancelling appointments using the EPR system
* Answering phone calls, taking messages accurately & dealing with them in a timely fashion
* Providing a compassionate service to our patients
* Dealing with e-mails
* Using ScanIt to move records, letters etc in to a digital format
* Liaising with clinical staff
* Reporting IT issues
* Reporting issues with equipment & estates
* Learning & understanding patient pathways


Person specification


Knowledge

* Full working knowledge of Microsoft Office, including Outlook, Email and Word
* Working knowledge of a wide range of relevant hospital systems; Viewpoint, Badgernet, EPR, Scanit and Attend Anywhere
* Use of and ability to manipulate Excel at basic level
* Knowledge of the Trusts Policies and Procedures. Understanding of patient confidentiality and data protection (including HFEA if required)


Training and Qualifications

* GCSE maths & English, NVQ 3 or above or equivalent NHS experience


Experience

* Experience of working in the NHS or similar organisation. Experience of working in a multi-disciplinary or busy team environment. Experience of working under pressure. Experience of working to protocols and procedures. Experience of talking to patients/service users. Experience of staff scheduling to cover needs of the service


Skills

* Excellent customer care skills to support a positive patient experience
* Excellent oral and interpersonal communication skills that can be applied with confidence to communicate with colleagues, patients and their families or carers
* Ability to work with minimal supervision in own role
* Time and task management skills in order to respond to the demands of the post

* Ability to understand and relate to Trust and Departmental guidance on patient access, data protection and patient confidentiality to every day work practice
