Main duties of the job
1. Manage daily administration for the Pharmacy Department, including procurement and maintaining data systems.
2. Support recruitment and onboarding.
3. Organise meetings, prepare agendas, take minutes, and ensure follow-up actions are completed.
4. Produce reports, support projects, and act as main point of contact for external enquiries.
5. Maintain office supplies and ensure health and safety compliance.
6. Work independently with advanced IT skills, ensuring adherence to confidentiality and data protection policies.

Person specification
Education, Qualification & Training
Essential criteria
17. Good standard of general education to GCSE level or equivalent, including Maths and English Language
18. A Level/NVQ Level 3 in Administration or equivalent experience
Desirable criteria
19. European Computer Driving Licence (ECDL) or Computer Literacy and Information Technology (CLAIT) or equivalent
Experience
Essential criteria
20. Knowledge and proficiency in use of relevant software packages including Excel, Word and Outlook.
21. Knowledge and proficiency in using online ordering, requisitioning and finance systems (e.g. eProc.)
22. Experience of working in a busy administrative environment, delivering a full range of administrative procedures.
23. Ability to plan, prioritise and organise a number of activities and continually reprioritise to meet tight, conflicting and often changing deadlines. Work well independently as well as part of a Team.
24. Ability to produce documentation to a high standard.
25. Experience in minute taking and agenda setting.

26. Ability to communicate with all levels of NHS staff either verbally or in writing (letter or e-mail) in a sensitive and polite manner.
27. Ability to organise and prioritise workload.
28. Skilled in the ability to use Microsoft software to a high level.
