Job Description:
As our Trading Operations Coordinator, you will serve as the vital liaison between the Trading and Operations teams, ensuring seamless coordination of maintenance schedules, outages, and optimisation activities across our fleet of power stations. You’ll manage critical communications with Field Engineers, support compliance and trade reconciliation, and deliver timely performance reporting to our optimisation customers.

Main Job Tasks and Responsibilities
* Act as the primary point of contact between Trading and Operations.
* Attend Operations team meetings on behalf of Trading to update maintenance and outage schedules.
* Liaise daily with Field Engineers regarding outages, maintenance, and fleet availability, logging data in our maintenance portal.
* Document and communicate schedule changes promptly to stakeholders.
Customer Support & Reporting
* Notify customers of upcoming optimisation schedules.
* Prepare and distribute performance reports, maintenance plans, and summaries.
* Handle customer queries and escalate technical issues as necessary.
* Generate incident reports for operational disruptions or trade discrepancies.
* Coordinate with internal teams to log, track, and resolve system or data issues.
Trade Compliance & Reconciliation
* Support the Trading team by validating trade bookings.
* Reconcile internal trade records with external confirmations for accuracy and compliance.
* Escalate mismatches or compliance issues to management.
Administrative Duties
* Organize and schedule meetings, prepare agendas, and distribute minutes.
* Assist with contractual agreements and document drafting.
* Perform general office administration to support team efficiency.
What We Are Looking For
* Minimum of 2 years' experience in office administration or secretarial roles, preferably within energy, utilities, trading, engineering, or operations.
* Excellent communication skills, both verbal and written.
* Strong stakeholder management skills to build rapport with engineers, traders, and customers.
* High attention to detail and accuracy in record-keeping.
* Ability to prioritize multiple tasks effectively.
* Proficiency in Microsoft Office (Excel, Outlook, Word).
* Comfort with learning and using trading or operations management systems.
* Proactive problem-solving skills and initiative.
* Good judgment in escalating critical issues.
Nice to Have
* Experience with incident management or ticketing systems (e.g., JIRA).
* Basic understanding of compliance in Trading, Energy, or Utilities sectors.
* Experience with data analysis tools like Power BI or Excel Dashboards.
