Main duties of the job
As a Medical Secretary/Administrator you will be providing an effectiveand efficient administration service across the practice. You'll be the firstpoint of contact for some patient enquiries and will need to be accurate and confident in dealing with patients, GPs and outside agencies, remainingprofessional, calm and unflappable at all times. You'll be a team player, have exceptional attention to detailand will be compassionate when working with people. You may also be required to support reception with ad hoc cover for busy periods, holidays, sickness etc as we are a team and our departments support each other.

A busy and established medical practice situated in thetown of Yeovil on the Somerset/Dorset border. We are seeking a Medical Secretary/Administrator to join the team and contribute to the care environmentand administrative running of their operation.
We are able to offer between 24 to 26 hours per week. We require hours to be worked on Mondays and Fridays plus whichever additional day/s you would prefer.

Job responsibilities
Job Summary
The post holder will undertakeall necessary administration tasks associated with the safe and effective businessrequirements of Penn Hill Surgery. It will be necessary to ensure that ourrecord keeping around all aspects of patient data is captured and utilized to ahigh standard. Attention to detail and managing a workload are key elements forthis post.
To provide general assistance tothe practice team, in particular the reception team for ad hoc cover withincontracted hours or as overtime. To project a positive and friendly image topatients and other visitors, either in person or by telephone.

Job Responsibilities
Complete all patient referrals including 2 week waits (2ww) required as directed by the clinical staff and sending booking letters topatients.
Monitoring of Urgent/2ww/A&G referrals.
Process all requests for copies medicalrecords/reports. Redacting 3rd party information wherenecessary.
Raise invoices for medical records/reports.
Post all records recorded delivery or contactpatient to collect them.
Log and process all private letter requests frompatients.
Completing tasks.
Dealing with enquires from patients/insurancecompanies/solicitors/hospitals etc.
Check stationary/prescription paper/registrationform stock levels and place orders accordingly.
Deal with patient registrations including temppatients and deductions, liaising with PCSE when necessary.
Summarising medical records.
Action summary care records, GP2GP, amendments,rejections and unmatched documents.
Collating cytology information for the recallsystem through the Health Authority.
Scanning and coding of clinical documents.
Coding of screening, health checks and flus.
Distribution of emails.
Support the reception team by providing ad hoc cover in the event of high demand on the telephones, reception team sickness/annual leave etc.
Undertake any other additional dutiesappropriate to the post as requested by the Partners, Practice Managers orOperations Manager.
General:
Attend team meetings, monthly staff meetings andother meetings as appropriate. Assist reception team with adhoc cover.
Participate in, and contribute to, serviceimprovement work with the Practice Manager and Partners.
To undertake any other duties commensurate withthe post and to react to statutory, legislative and NHS policy within the scopeof the role, including CQC registration compliance
Person Specification
Qualifications
* - Five GCSEs (or equivalent) including Maths and English.
Experience
* - Previous experience of working in a medical administrative environment.
* - Excellent attention to detail.
* - Excellent communication and interpersonal skills both verbal and written.
* - The ability to understand, accept and adhere to the need for strict confidentiality.
* - Proficiency in MS Office.
* Proficiency in the EMIS clinical system would be beneficial, as would experience of working in the NHS or a similar healthcare setting in an administrative capacity.
