The post holder will be part of the West Kent Neuropsychiatry admin team, providing direct reception and administrative support to the West Kent Neuropsychiatry clinical team and other administrative colleagues.
Responsibilities
* Supervised by the Band 3 Administrator; liaise effectively with employees at all levels and with external organisations using verbal, written and electronic media.
* Maintain records on electronic systems with accuracy and promptness, adhering to information governance policy and procedures.
* Arrange appointments for clinicians to see patients, including all relevant administration.
* Receive and process referrals, handling all necessary administrative steps.
* Process emails from the generic inbox.
* Use the SBS ordering system to order stationery and equipment.
* Photocopy relevant documentation, including support and educational paperwork for patients.
* Work independently, organising and prioritising workload on own initiative.
* Possess experience of electronic diary management, be an excellent communicator, and remain calm in sometimes difficult situations.
* Have front‑line contact with service users, carers, the general public and external professional stakeholders, as well as internal colleagues.
* Manage reception: meet and greet patients and carers, take incoming telephone calls, take accurate messages and pass them to the appropriate person.
* Employ good data‑inputting skills, whether on spreadsheets or Trust electronic medical databases, maintaining a high level of accuracy.
* Provide reception support to patients, ensuring they have brought in the correct completed documentation and offering assistance where required.
* Possess excellent typing skills, capable of touch‑typing with a high degree of accuracy, and able to produce high‑quality documents from copy typing or digital dictation, adhering to Trust format and following data protection policy.
