Servicing Administrator - Full time, 12-month FTC
Main Role & Responsibilities:
The main purpose of the role is to maintain and update QFM to ensure compliance across the group. Responsibilities include:
* Add service schedules to QFM for new and existing properties; maintain and update as necessary.
* Publish schedules on the schedule planner.
* Conduct daily checks of certificates on the system; escalate or chase where necessary.
* File and attach certificates and reports on QFM.
* Meet regularly with contractors regarding planned and reactive maintenance.
* Set up and maintain service agreements and insurance inspections for properties with lifts.
* Maintain a database of statutory requirements.
* Contact contractors for quotes for remedial works following scheduled services; ensure works are processed and completed.
* Process invoice approvals via SAP.
* Respond to site queries related to certification and compliance.
Experience and Skills Required:
* Excellent written and computer skills, including accuracy.
* Strong team player with the ability to contribute to the wider Estates team.
* Working knowledge of Outlook and Microsoft Office packages.
* Excellent planning, time management, and prioritization skills to meet deadlines.
* Confidence to develop relationships with internal colleagues and external contractors/suppliers.
General Office Duties:
* Support colleagues with Helpdesk cover during planned and unplanned absences.
* Handle telephone inquiries efficiently.
Reports directly to the Adults Divisional Facilities Manager.
