What will you be doing as a Shared Services Coordinator (processing)? Acting as the first point of contact via telephone, email, and other channels, providing advice and support. Offering first-line guidance with confidentiality, sensitivity, and clarity, adapting communication style as needed. Managing the People Team’s mailboxes, responding promptly with accurate guidance on policies and processes. Developing and maintaining systems and processes for employee and candidate information, ensuring compliance with GDPR and right-to-work legislation. Overseeing onboarding and employee information processing in the HR system, including contracts and change letters. Collaborating with the wider team to ensure accuracy and meet monthly deadlines. Ensuring GDPR compliance when handling, storing, and sending employee information. Liaising with external bodies such as HMRC and DBS as required. Maintaining compliance with statutory requirements for PAYE, pensions, HMRC reporting, P11Ds, settlement agreements, RTI, and pension scheme returns. Coordinating information flow across the team, meeting deadlines and identifying opportunities for process improvement. What Skills and Experience do you need to be a Shared Services Coordinator (processing)? To work as part of the People Team we are looking for candidates with the following qualities: Proven administrative experience with high-volume processing, ideally within HR or recruitment. Strong communication skills, able to build effective relationships with stakeholders and adapt style appropriately. Demonstrated confidentiality, professionalism, and adaptability when handling sensitive information. Highly organised, self-motivated, and detail-oriented, with accuracy in managing large volumes of data. Solid IT proficiency, including HR systems, spreadsheets, and Microsoft Office. Basic knowledge of HR employment law (desirable) and commitment to compliance.
