* Experience and ability to perform tasks provided below .
Duties/role:
* Assisting with the day-to-day administration of procurement and contracting activities.
* Finalising general correspondence and documents, preparing presentations, and creating tables of figures.
* Preparing staff mission and hospitality requests.
* Answering enquiries and incoming phone calls and emails. Drafting routine memoranda and cover letters as required. Processing documents and drafts as required. Keeping informed of upcoming activities, particularly upcoming procurements.
* Managing contracts with external entities.
* Assisting in budget preparation, budget analysis, and formulation. Preparing financial reports for internal and external use, according to management needs and established policies and regulations.
* Contributing to the maintenance, update, and improvement of Information and Knowledge Management tools and platforms, team workflows, and taskings.
* Filing correspondence and documents and administering classified files. Maintaining an effective follow-up and/or reminder system for pending actions within the OFC.
* Maintaining and updating files and archives within the compliant framework of IPSAS and other best practices, including robust risk management.
* Staying informed on upcoming activities, including procurement actions, contract statuses, negotiations, and document preparation. Tracking key contractual terms, including total spend by vendor, renewal dates, and relevant stakeholders.
* Maintaining an effective follow-up and/or reminder system for outstanding actions and control activities of the OFC team to ensure delivery.
* Assisting in performing cost-benefit analyses to compare current year variances to approved budgets; reviewing financial requests for accuracy and completeness. Analysing, recommending, and implementing organisational efficiencies to ensure continuous improvement.
* Assisting in reporting internally on variances between actual and budgeted procurement expenses.
* Overseeing and monitoring the execution of small projects/ programmes and/or providing specialist input.
* Contributing to the preparation of monthly/quarterly updates, analysing undelivered orders, coordinating information for briefings, and ensuring legal documents related to program execution and reporting are accurate.
* Clarifying and contributing to stakeholders' expectations. Providing information and assistance on routine procurement document requirements.
* Performing any other related duties as required.
