We're seeking a skilled and motivated Administrator to play a vital role in keeping our services running smoothly, supporting colleagues and volunteers, and ensuring young people and families get timely access to the support they need ensuring the charity's values are upheld and modelled at all times.

We directly deliver imaginative, carefully case‑managed services for children and young people with social, emotional and mental health needs. Our Glow Programmes support those aged five and above with mentoring, counselling, family support and SEND advice, specialist crisis support and ongoing wellbeing, plus small group therapeutic creative arts and gaming projects. All Glow services are free to the children and young people who access them. We also provide education and wellbeing packages to Local Authorities, Social Services, the NHS and other statutory bodies for children with EHCPs; these contracted services generate revenue to sustain Glow and core costs and reach those most at risk of falling through the gaps.

Key Responsibilities
Enquiries, Referrals & Service Access
* Act as first point of contact for phone, email and website enquiries, providing information and signposting to families, professionals and young people. Demonstrate our values so stakeholders feel met with love, kindness, imagination and attention to detail, even in stressful situations.
* Manage referral processes: initial contact calls, referral discussions, waiting lists, records and safeguarding concerns as required.
HR, Recruitment & Volunteer Support
* Administer recruitment and onboarding for staff, practitioners and volunteers.
* Ensure compliance with Alternative Learning Provider (ALP) and education safeguarding requirements (including DBS and references).
* Support volunteer recruitment and assessment days; act as first contact for potential volunteers.
* Provide thoughtful support to staff and volunteers so people feel valued and inspired.
* Maintain team/staff/volunteer records, annual leave tracking and the Single Central Record (SCR).
Systems, Data & IT
* Administer the Charitylog case management system: onboard users, troubleshoot and liaise with system support.
* Manage Google Workspace and other IT systems, supporting access, permissions and basic troubleshooting.
* Act as Data Protection Officer: ensure ICO compliance and drive improvements in data management and organisation (e.g. Google Drive and other data systems).
Organisational Support
* Set up and manage events, courses and workshops for children, families, volunteers and stakeholders.
* Organise office maintenance, equipment and contractor liaison; maintain the asset register.
* Support the charity's social media presence (posting updates, responding to messages, scheduling content).
* Administer social impact data collection and support smooth team processes.
* Provide secretariat support for trustee meetings (circulation of papers, minute-taking).
* Contribute flexibly to the smooth running of the organisation, supporting colleagues and adapting to priorities.
You will have/ be able to demonstrate:
* Strong administrative experience, ideally in a children's charity, education, youth or social care/mental health setting, with a record of improving service administration or client operations.
* Excellent organisational skills; able to manage multiple tasks, deadlines and priorities proactively.
* Experience handling sensitive information with high attention to detail, confidentiality and compliant record keeping.
* Confident, thoughtful verbal and written communicator with families (including those affected by mental health or SEND), professionals, trustees and volunteers, showing warmth and imagination.
* Experience managing databases or case management systems and a willingness to seek system improvements.
* Proficiency with Google Workspace (Forms, Sheets) and quick to learn new IT tools; uses digital tools to streamline workflows.
* Commitment to safeguarding best practice and ongoing learning, familiar with KCSIE (2025), Working Together and safer recruitment principles.
* Experience supporting HR processes (safer recruitment, onboarding, compliance checks) and improving HR administration.
* Proactive, imaginative problem-solving, able to work independently and collaboratively.
Desirable:
* Knowledge of GDPR and experience acting as a Data Protection Officer.
* Experience providing secretariat support for boards or committees.
* Financial administration experience (e.g. processing invoices, purchase orders).
Other role information
* Working pattern: Full-time, hybrid or remote; we can normally enable flexible working with some capacity for occasional support for board meetings that might take place in the evenings though this is likely to be ad hoc and not frequent
