VEDA's Infrastructure Team are currently looking for a Project Admin Assistant to join their team.
Role Description
The Project Admin Assistant will support the delivery of civil engineering infrastructure projects by assisting the project manager in planning, coordination, documentation, and communication. This role is ideal for someone with strong organizational skills and a keen interest in infrastructure development, including roads, bridges, utilities, and public works.
Role & Responsibilities:
* Assist in the preparation and maintenance of project documentation (e.g., schedules, budgets, risk registers, reports).
* Coordinate meetings, take minutes, and follow up on action items.
* Maintain project documentation and ensure version control.
* Monitor project progress and update tracking tools.
* Support procurement processes including tender documentation and supplier coordination.
* Track project progress and update project management systems.
* Liaise with contractors, consultants, and stakeholders to ensure timely communication.
* Help manage health & safety documentation and compliance records.
* Assist in preparing reports, presentations, and dashboards.
* Maintain document control systems and ensure version accuracy.
* Help manage risk registers and issue logs.
* Support quality assurance and control procedures.
Skills & Qualifications:
* Experience in infrastructure or engineering projects is highly desirable.
* Familiarity with project management tools (e.g., MS Project, Primavera, or similar).
* Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
* Excellent communication and interpersonal skills.
* Ability to multitask and prioritize in a fast-paced environment.
* Detail-oriented with strong organizational skills.
Desirable Attributes (Not Essential):
* Experience with NEC or FIDIC contract administration.
* Knowledge of civil engineering or infrastructure project lifecycles.
* Understanding of BIM (Building Information Modelling) processes.
* Familiarity with GIS or CAD software.
