Offer description

We are looking to appoint a motivated, reliable and hard working Receptionist. We have a part time position available, with the scope for full time.

Previous Receptionist experience would be desirable.


Main duties of the job

The first point of contact for patients and external services, face to face, on the phone and via email.

To provide administrative support to the Practice Manager, GPs and health professionals including word processing, liaising with hospital administration teams and general clerical duties.

Previous Receptionist experience would be desirable, as well as experience using EMIS and Docman.


About us

We are a large practice with a patient population of 11800. We have two GP Partners, one salaried GP and four regular Locum GPs and a team of Receptionists, Administrators and Secretaries.

The Practice relies on a team of hardworking, efficient and friendly Staff with a great sense of humour, in this fast paced environment.

Salary - depending on experience.

JOB DESCRIPTION

JOB TITLE: RECEPTIONIST

REPORTS TO: PRACTICEMANAGER (under the supervision of the Reception Supervisor)

HOURS: 20-25 hours per week

Job Summary:

Receive, assist and direct patients inaccessing the appropriate service or healthcare professional in a courteous,efficient and effective way.

Provide general assistance to the Practiceteam and project a positive and friendly image to patients and other visitors,either in person or via the telephone.

Job Responsibilities:

Administration

* To have athorough knowledge of all Practice procedures.
* To work inaccordance of written protocols
* Pulling/filingnotes for surgeries and update as necessary
* Incomingpaperwork (e.g., post, requests for prescriptions, photocopying, faxes)
* Filing post inmedical records
* Fax and photocopyas requested
* Outgoingpaperwork (referrals, business letters, claims, forms, repeatprescriptions

Reception

* Handing completedrepeat prescriptions to patient and checking names and address.
* Be able to coverall reception position as necessary
* Contactwith patients, appointments, greeting patients on arrival, directing asappropriate, dealing with visitors, informing patients of late runningsurgeries, registering new patients, explaining services

Appointments

* Process appointmentrequests from patients by telephone and in person.
* Deal with visitsrequests

Computer

* Registrations ofnew patients computer data entry and medical records.
* Process patientschange of address computer data and medical records (have knowledge ofPractice area.
* Process repeatprescription request in accordance with Practice guidelines.

Telephone

* Have workingknowledge of telephone, during and after hours.
* Cover fortelephonist when necessary

Other Tasks

* Ensure buildingsecurity have thorough knowledge of doors/windows/alarm.
* Make coffee fordoctors
* Any other tasksallocated by managers
* organisecatering for meetings
* handlecash safely and efficiently and maintain records

* In the course ofseeking treatment, patients entrust us with, or allow us to gather,sensitive information in relation to their health and other matters. They do so in confidence and have theright to expect that staff will respect their privacy and actappropriately
* In the performanceof the duties outlined in this Job Description, the post-holder may haveaccess to confidential information relating to patients and their carers,Practice staff and other healthcare workers. They may also have access to informationrelating to the Practice as a business organisation. All suchinformation from any source is to be regarded as strictly confidential
* Informationrelating to patients, carers, colleagues, other healthcare workers or thebusiness of the Practice may only be divulged to authorised persons inaccordance with the Practice policies and procedures relating toconfidentiality and the protection of personal and sensitive data

The post-holder will assist in promoting andmaintaining their own and others health, safety and security as defined in thePractice Health & Safety Policy, to include:

* Using personalsecurity systems within the workplace according to Practice guidelines
* Identifying therisks involved in work activities and undertaking such activities in a waythat manages those risks
* Making effectiveuse of training to update knowledge and skills
* Using appropriateinfection control procedures, maintaining work areas in a tidy and safeway and free from hazards

Thepost-holder will:

* Apply Practicepolicies, standards and guidance
* Discuss withother members of the team how the policies, standards and guidelines willaffect own work
* Participate inaudit where appropriate

Qualifications

* Previous Receptionist experience
* Previous experience using EMIS and Docman
