Job Description

We are looking for an experienced facilities professional who will ensure health, safety, security and compliance requirements are met, while identifying opportunities for improvement through practical and cost-effective solutions.

The role also has a strong people focus, with responsibility for identifying training and development needs and supporting the upskilling of the Workplace Team.

Key Responsibilities

1. Lead and manage Workplace services across a multi-site portfolio, ensuring all functions are delivered to agreed standards and contribute to an excellent customer journey.
2. Act as deputy to the Workplace Operations Manager, providing operational support and continuity of service.
3. Maintain accurate workplace records, reports and documentation to ensure compliance with policies, standards, KPIs and SLAs.
4. Coordinate and manage workplace services including cleaning, catering and maintenance to ensure seamless delivery and compliance.
5. Monitor workplace management systems, ensuring accurate data, and produce reports on occupancy, usage and service performance.
6. Manage suppliers and contractors, reviewing performance and ensuring services are delivered efficiently and to contract.
7. Ensure health, safety, security, environmental and ESG standards are met, including incident reporting, audits and sustainability initiatives.
8. Identify and implement process improvements, best practice ideas and support the rollout of new FM systems, technologies and initiatives.

Professional and Personal Competencies/Qualifications

9. Experience managing a portfolio of offices with responsibility for office budgets and Facilities Management processes.
10. Proven FM contract and budget management experience, including contractor performance review.
11. Previous line management experience with the ability to develop and upskill teams.
12. Strong stakeholder management skills, including effective interaction with contractors and internal teams.
13. Research, data gathering and analysis capability with strong attention to detail.
14. Proficiency in Microsoft Word, Excel and PowerPoint.
15. Excellent interpersonal, communication and time management skills.
