Overview
As a PA you will manage the diaries of both the Head and Deputy Head of UK Accounting Shared Services, allowing them enough time to prepare for meetings, attend to day-to-day requirements, whilst factoring in time for independent work. You will liaise regularly with senior management, deal with confidential information and will have the opportunity to communicate to the department on behalf of the leadership team. BGBS is an accounting shared service centre established in 2018 to provide accounting functions for Bertelsmann group companies in the UK. Comprising of a team of over 60 and based at the Penguin Random House distribution centre on the outskirts of Colchester, the group companies served by BGBS include Penguin Random House, Dorling Kindersley, BMG, Arvato SCM and Little Tiger. The services provided by BGBS include Accounts Payable, Accounts Receivable, Bank and Payments and General Accounting (general ledger, fixed assets, tax, financial reporting etc.). This role can be part time (from 24 hours per week), up to full time. Please confirm your preference of working hours in your cover letter.
Responsibilities
* Organise internal and external meetings, including Department team meetings and other events, as well as regular Senior Management meetings. Responsibilities include booking the rooms/venue, online MS Teams calls arranging catering and minuting
* Carry out inbox management
* Arrange occasional travel, providing itineraries for more complex trips.
* Approve and capture all direct reports' holidays and input into Outlook diary
* Plan and coordinate team events and social activities
* Be the key point of contact internally and externally when the leadership team are unavailable
* Coordination of monthly accounts reviews and annual forecast and budget meetings
* Take on additional departmental duties or responsibilities as required.
* Note: flexible working location with office in Frating, Essex, up to three days per week
Requirements
* Previous experience working as a Personal or Executive Assistant at a senior level
* Microsoft Office skills, including Excel, Word and PowerPoint
* Competent at using MS Teams and Outlook to set up virtual meetings and work groups
* Strong organisational, attention-to-detail and communication skills
Preferred criteria
* Experience supporting Directors in a Finance environment
Salary and location
Circa £43,000 (from £30,000 for part time applications) dependent on how your skills and experience align to the role, plus bonus and benefits. Based at Frating, Colchester. We recognise flexibility around where you work and expect that this role will be based in our office in Frating, Essex, a maximum of three days per week.
