Job Title: Operations Business Support & Safeguarding Officer
Reports to: Operations Business Support Manager
Salary: Scale 6, Points 26-28, £26,229 - £27,982 per annum, pro rata
Hours of work: Full Time (37.5 hours per week)
Responsibilities
* Business Support
o Assist in handling operational enquiries.
o Scheduling, attending and servicing of meetings, including minute taking and distribution of minutes and agendas.
o Assist with maintaining monitoring documents for commissioners.
o Assist with the preparation of operational reports as required.
o Assist in liaison with key partners / funders as directed.
o Provide first-line technical support to the wider department, escalating issues where necessary.
o Support the implementation and training around digital systems and tools.
o Administer the support management system (e.g., Outcome Star) ensuring prompt allocation and support for those requiring licences.
o Assist in data management, KPI reporting, and digital transformation projects.
o Provide general day-to-day administration and maintain filing systems.
o Assist the business to focus on positive and prompt resolution, wider learning, and quality improvement.
o Provide cover for colleagues and undertake other duties as required.
* Safeguarding
o Support with administration of the incident management system (e.g., MyConcern), ensuring accurate and timely monitoring of safeguarding concerns and outcomes.
o Lead, design and deliver training and briefings around MyConcern for colleagues at all levels.
o Use interpersonal and communication skills in dealing with complex and sensitive situations.
o Support safeguarding leads with data reporting, trend analysis, and compliance monitoring.
o Gather information and resources on safeguarding topics (e.g., Domestic Abuse).
o Maintain accurate records of version control for efficient administration and audits.
o Assist safeguarding leads and the Head of Quality Standards & Registered Services Manager with safeguarding duties (e.g., Safeguarding Log, Ofsted Notifications, Ofsted Central Governance spreadsheet).
o Lead safeguarding communication strategy for staff & young people.
o Monitor referrals from relevant inboxes and data inputting (including MARAC), ensuring appropriate representation at meetings.
o Support the process of investigations into Incidents & Safeguarding in line with Policy, including:
+ Monitoring receipt of all new Incidents & Safeguarding concerns.
+ Ensuring referrals are submitted in a timely manner.
+ Identifying cases managed using the most appropriate method, in consultation with colleagues.
+ Monitoring progress and intervening or escalating where progress is insufficient.
+ Supporting or taking the lead on specific cases (subject to complexity).
Qualifications
* Essential
o Maths & English GCSE Grade C or above.
o Business Administration Level 3 or willingness to work towards.
* Desirable
o Educated to degree level in a related subject area or equivalent through work experience.
Role Experience
* Experience of working within and operating under safeguarding policies, procedures and working frameworks.
* Experience using spreadsheets and Microsoft 365 Apps.
* Experience of case management systems.
* Experience of managing own workload in a dynamic environment with changing deadlines and priorities.
* Experience of handling sensitive and confidential client data.
* Experience of managing a varied workload with strong organisational and time management skills.
* Accurate minute-taking and attention to detail.
Knowledge
* Essential: Knowledge of how safeguarding relates to the supported housing sector; use of Microsoft Apps / Power BI; commitment to EDI / anti-discriminatory practice; ability to present information in numeric/written/performance data forms; administering and complying with detailed procedures.
* Desirable: Awareness of policy review processes in safeguarding legislation, regulation, good practice and service delivery.
