Purpose:
The role facilitates the property portfolio of Manolo Blahnik International Limited where required, ensuring clear communication and direction to our external Facilities Management provider. This will cover compliance with the landlord covenants, statutory compliance including health and safety according to the United Kingdom HSE requirements or higher, property condition and maintenance, presentation, and day to day infrastructure.
Responsibilities (for MBIL locations):
General
* To oversee the day to day operation of the facilities and to check that standards are being maintained.
* Ensure all maintenance supplies are fully stocked in preparation for upcoming work.
* Place orders from nominated suppliers, up to the value agreed by the Operations Manager
* Develop close relationships with the facilities management company, Avison Young, any external consultants, and service providers; including Hard and Soft M&E, security, fire, energy brokers, architects, engineers and any other property management consultants.
* Oversea the Properties budgets across all locations with support from our external provider in aiming to keep costs competitive to market rates and within budget as far as possible.
* Regular site visits to all Manolo Blahnik locations
* Familiarity with space planning and utilisation optimisation.
* Support Finance in the management of the building, property, and contents insurance for all locations.
* Contribute to structures, policies, or processes for the management of properties, which can be easily scaled up with the minimum of risk or cost to the business as required.
* Support the Office Management team to ensure day-to-day building operations are being delivered of all facilities management services to provide the best possible working environment for employees and clients.
* Oversee external contractors to site and ensure correct documentation is in place
* Review along with our external Facilities Management service level agreements with contractors to ensure value for money, prepare specifications and tender contracts with assistance from relevant team; including rent reviews.
* Support the implementation and monitoring of disaster recovering and business continuity plans.
* Proactive in ensuring the business is up to date with compliance and regulations and implement any changes
* Assist with administrative tasks, duplicate office keys are in order and client internal events and launches.
* Needs to be comfortable in carrying out small maintenance tasks as and when required
Systems and IT
* Support Systems & IT with the operations of infrastructure to new locations, configuring new devices and issuing them to employees; ensuring the necessary security systems are in place.
* Support for AV in meeting rooms.
* Sole keyholder for all properties and ensuring physical security in each office location working with IT to ensure relevant systems are in place & managed correctly in each office.
Safety
* Monitor the operation and safe use of maintenance tools, PPE and any other work-related equipment.
* Primary contact for all escalations relating to the portfolio. E.g., faulty mechanical and electrical equipment or building fabrics, health and safety incidents or risks, failed third party services or concerns, security incidents or risks.
* Support the Commercial division with new acquisition’s fit-out in compliance with law and requirements: in particular, insurance, appointment of architects, tenders and contractors, commissioning for HSE, Security, Fire and Safety, handover from Contractors.
* Working closely with the operations team to ensure the site and equipment are fit for purpose.
Skills and Experience Required:
* Experience in building and facilities management.
* Knowledge of UK Health and Safety, fire and security systems.
* Experience working automatously and within a team
* Working knowledge of maintenance and engineering.
* Experience in troubleshooting and analytical skills.
* Communication: Strong and effective presentation skills and ability to converse with a diverse range of people at all levels.
* Strong problem-solving skills with a strong, solution-based mindset. Ability to prioritise tasks and ensure delivery of results within tight deadlines.
* Excellent attention to detail.
* Knowledge of network connectivity, protocols, network security devices, network types, including wireless, and common operating systems — Windows, Mac and Windows Server systems.
* Excellence: High level of finesse and excellence required in delivery of all tasks.
* Ambassador: Requirement to act as an ambassador for the company.
* Must have a thorough understanding of all utilities services (gas, electric, water & heating supply) and demonstrate an ability to problem solve these areas to aid crisis management
