The Estate Support Clerk is an essential role within the MRTC, that works closely with the Station Support Officer to oversee the on-site delivery of Civil Service management, security, community engagement, infrastructure support and health and safety management. Working from the headquarters building you will be part of a small team of three, supporting the MRTC through the maintenance of registers and document production, as well as providing additional administrative support to the station support team when necessary.
Responsibilities will include:
Primarily responsible for working in the headquarters building and administratively supporting the Station Support Officer in the management of barracks infrastructure, the CS workforce, security, community engagement and health and safety, there may well be other tasks as directed by the line manager
Provide general administrative support (and advice where necessary) to the Station Support Officer and a Civil Servant Health and Safety Advisor. This will involve the following:
Creation of documents (including meeting minutes and official letters) using IT and operating an e-copy and hard copy filing system
Reproduction of documents, using photocopiers, binders and laminators
Scanning documents and uploading to SharePoint and distribution by email
Ordering, tracking and delivering forms and publications
Management of office machinery (including photocopiers and printers) including ordering of consumables and reporting faults
Shredding of sensitive material
Updating notice boards
On a daily basis, maintain and manage the MRTC Memorandum of Understanding (MOU), Service Level Agreements (SLA) and Encroachment / Licence registers
Where necessary, provide support to the Health and Safety Advisor in the maintenance of MRTC Health and Safety registers
Provide administrative support to the Station Support Officer whilst they are the point of contact for Civil Service recruitment and management
Provide low level administrative input into the Estate Management Plan in order to deliver a sustainable and suitable Bassingbourn home base, in cooperation with Defence Infrastructure Organisation (DIO) and the Regional Prime Contractor (RPC)
In support of the Station Support Officer, assist in the delivery of a clear, long term and responsible attitude to barracks husbandry, security, building ownership / occupation and the general day to day usage of Bassingbourn Barrack’s fabric and facilities
Assist the Station Support Officer in the management, husbandry and security of the barracks
Assist the Station Support Officer in coordinating all home base station activity impacting the site and to liaise with all Bassingbourn stakeholders. This may involve some low-level community engagement with civilian stakeholders in the vicinity of the barracks
Where necessary, provide support to the Administration Support Clerk with postal responsibilities; these may include:
The collection and distribution of mail
Log receipt and distribution of accountable mail
Log use of franking machine and apply franking to MOD mail
Recording forwarding addresses of leaving personnel
Maintain post room and update notice board
Any other duties as directed by the Station Support Officer
This post may involve on occasions working outside of the core hours, so a degree of flexibility is required. Overtime pay or time off in lieu will be granted on these occasions.
