Administrative Assistant (PHRP Carlisle)

Hours: Up to 37.5 hours per week, Monday – Friday 9:00-17:00. Hours negotiable within office times.
This role supports the Physical Health and Rehabilitation Psychology Service (PHRPs) in Carlisle, working closely with the administration team and service leads. The post holder will provide a full range of administrative assistance, including typing, minute taking, filing, photocopying, diary management, meeting coordination, telephone call handling, and data entry into EMIS.
Job responsibilities
* Act as the first point of communication for the Physical Health and Rehabilitation Psychology Service.
* Perform comprehensive administrative tasks: typing, minute taking, filing, photocopying, diary maintenance, meeting arrangements, and correspondence management.
* Handle telephone calls from clients, referrers, other agencies and the public, and input data into EMIS.
* Coordinate with the admin support teams based in Keswick and Carlisle and the wider operational team.
Qualifications
* NVQ Business and Administration Level 3, or equivalent experience.
* GCSE English, Grade C or above.
* ECDL, or equivalent IT skills.
* GCSE Mathematics, Grade C or above.
Experience
* Previous file management – electronic and paper.
* Diary management.
* Experience working with a clinical record of care.
* Planning and facilitating meetings, including minute taking.
* Proficiency with data/Excel packages.
* Experience in Health or Social Care services.
* Training or supporting less experienced staff.
Knowledge
* Understanding of confidentiality issues.
* Importance of accurate record keeping.
* Awareness of clinical governance/audit.
* Awareness of Data Protection legislation.

Applicants must undergo a DBS check under the Rehabilitation of Offenders Act (Exceptions Order) 1975. The cost will be met by the successful candidate(s) through salary deduction: Standard Check £28.00 or Enhanced Check £56.00, deducted over a four‑month period or as a one‑off payment.
