The department

Job Purpose:

To assist both the Employment and Immigration teams within the Guildford Employment Group on a day-to-day basis, as well as support to the wider Employment Department (based in Sussex and Surrey), all of whom seek to provide a high-quality service to their clients.

You will be part of the Guildford Employment Group, working closely with the fee earners and secretaries in the Employment and Immigration teams within it. Your work will be a mixture of chargeable and non-chargeable work on client matters, principally supporting with Employment Tribunal proceedings, general advisory work, visa and immigration applications, legal and general research, settlement agreement reviews, due diligence exercises on corporate transactions, and new client administrative processes.

Responsibilities and Duties:

Work as part of the teams, undertaking a mixture of fee-earning (time recording as appropriate) and administrative work.
Be responsible, under supervision, for assisting other fee earners within the teams with their work for clients. Assist the fee earners and secretaries in managing new client enquiries, incoming documentation, proof-reading and document review and other administrative tasks.
Maintain a very high level of accuracy, and confidentiality at all times, even under pressure.
Undertake research as requested, including basic legal research, and utilising our digital research tools as appropriate.
Carry out case management and deal with incoming emails, printing and filing of hard copy documents (where required).
Attend department meetings and such training courses as may be determined by the Group Head.Other information

Knowledge, Skills and Experience required:

A law degree or professional qualification (Eg GDL).
A clear commitment to excellent client care and enthusiasm for employment/HR work.
A working knowledge of the UK Immigration Rules and visa application types will be helpful, but not essential.
Accurate and efficient drafting and document review skills.
Previous experience of case management, time recording and diary management systems helpful. Training on our systems will be provided
Excellent IT skills with experience particularly around document management, and use of pdfDocs and/or digital bundling software (e.g. Zylpha).
Ability to communicate well both orally and in writing, including dealing directly with clients when required.
Ability to identify problems, and escalate promptly, proposing solutions wherever possible.
Experience in the appropriate use of generative AI (including appropriate use of prompting and grounding techniques) helpful.
