Job Summary
Band 4 part‑time Medical Secretary Supervisor (22.5hrs per week) to join the Urology Department secretarial team at University Hospitals Birmingham NHS Foundation Trust, Queen Elizabeth Hospital Birmingham. The role involves providing professional secretarial support, minute‑taking, audio‑typing, managing appointments and electronic patient records, and supporting the consultant and team in delivering high‑quality care.
Responsibilities
* Supply professional secretarial support, including minute‑taking and audio‑typing services for urology consultants.
* Plan and manage own workload to meet consultant and team requirements.
* Book admissions and appointments, and prepare and import documentation into electronic patient records.
* Maintain and manage waiting lists and other clerical duties as required.
* Communicate effectively with patients, colleagues and external parties.
* Ensure confidentiality and secure handling of sensitive information.
Qualifications
* Good general education (e.g., GCSE English and Maths A–C).
* Business Administration NVQ level 3 or equivalent clerical experience.
* Experience as a secretary, including dealing with public/customer service and using Microsoft Office packages.
* Comfortable with IT systems and strong typing skills.
* Excellent organisational, time‑management and multitasking abilities.
* Proactive, flexible, and able to work under pressure.
* Good communication and customer‑care skills.
* Understanding of confidentiality and equality/diversity principles.
Desirable
* Experience working in a busy environment.
* Experience in healthcare settings.
* Experience with the RTT pathway and managing waiting lists.
Pay & Benefits
Band 4 – £28,392.00 to £31,157.00 yearly. Part‑time, flexible working. Permanent contract.
