Overview
Reception (Front of House) role at WSP. The UK Business Administration team supports the smooth running of the business, coordinating with Facilities Management, IT and the broader Business Administration team to deliver exceptional visitor and employee experiences at the Chancery Lane office.
What you will do
* Provide an exceptional level of customer service to all visitors and employees.
* Collaborate with Facilities Management, IT and Business Administration to facilitate and respond to visitor, internal client, and office requests.
* Meet colleagues remotely and in person, contribute to a safe and healthy working environment, and participate in new initiatives and ideas.
* Report to the Concierge Lead and work from the office full time due to the nature of the role.
* Balance client care with office facilitation requirements, gaining knowledge of visitors and their expectations to add value and support continuous improvement.
* Deliver a positive visitor experience and maintain a high standard of client and employee care by addressing queries promptly and professionally.
* Provide support to reception operations, including porterage and office moves as required.
This is an exciting and varied role with typical tasks including:
* Provide support in answering telephone calls in a timely, professional manner and direct calls as necessary.
* Maintain visitor sign-in protocols and comply with health and safety and GDPR policies.
* Manage meeting rooms, including AV setup, tele/conferencing, refreshments, IT assistance, and other general requests.
* Assist with onboarding and office tours for new starters.
* Coordinate daily operations across reception and client floors to ensure seamless communication.
* Use local knowledge to assist visitors and colleagues (e.g., local dining options, taxis, train timetables).
* Support office locations directors, including completing Business Continuity Plans.
* Coordinate and support local office events, contributing ideas and working with relevant teams to deliver a great experience.
* Support wider Business Administration team by handling the central mailbox during quiet periods.
What we would like you to demonstrate
* Extensive experience in a client-facing role providing front-of-house service.
* Experience in managing visitor sign-in procedures and health and safety compliance.
* Good working knowledge of Microsoft 365 (Word, PowerPoint, Excel).
* Strong verbal and written communication skills with excellent attention to detail.
* Ability to build effective working relationships and communicate clearly and openly.
* Self-motivated with initiative and a professional, confident manner.
* This role is in the office 5 days per week.
