What we're looking for…
As an Executive Assistant at AG Barr you will play a pivotal role in providing high-level, confidential administrative support to the Executive team.
You will also support the office management of our new London office, acting as a brand ambassador and ensuring a first-class experience for all visitors and stakeholders.
This position requires a high degree of autonomy, strategic thinking, ability to work at pace and exceptional organisational skills. This position also must demonstrate a positive attitude and high degree of professionalism acting on behalf of the Executive Committee.
Due to the office management aspect of this role - there is a requirement to be on site full time.
Your responsibilities will include:
* Provide proactive, confidential administrative support to our Executive team, managing complex diaries, scheduling travel, and coordinating high-priority external engagements and relationships
* Overseeing the smooth operation of the office and execution of key client engagements, meetings, and events at the new London hub
* Oversee and manage external activities, including preparing executive committee meeting materials, board reports, submissions, and other high-level documents
* Support the creation and distribution of presentation packs, reports, and materials for senior leadership meetings, ensuring they are prepared in a timely and professional manner
* Serve as the primary point of contact for internal and external stakeholders, ensuring seamless communication and fostering strong relationships
* Work in partnership with the other EA ensuring seamless administration support across the whole executive team, providing holiday and ad hoc cover as required
* Collaborate with the facilities team to ensure office standards and operations run smoothly, including managing office-related administrative tasks and assisting with space planning, supplies, and resource allocation
* Demonstrate a positive and professional approach at all times.
What you will bring:
This role requires a highly experienced Executive Assistant/Office Manager who can thrive in a fast-paced, high-pressure environment and support senior leadership.
* Executive Support: Proven, highly developed business administration background, with significant experience as an executive assistant.
* Organisation & Management: Exceptional organisational and time management skills, including managing multiple senior-level calendars, planning/coordinating meetings, and managing competing priorities.
* Documentation: Experience preparing high-level reports, meeting packs, and presentations for board members and executives.
* Confidentiality: Demonstrated experience handling sensitive or confidential information with discretion.
* Communication & Stakeholder Management: Excellent written/verbal communication and interpersonal skills, with the ability to liaise effectively with senior leaders and external stakeholders, building strong relationships across all levels.
* Adaptability: Ability to work under pressure, adapt to changing priorities, and meet tight deadlines.
* Senior Experience: Previous experience working with senior leadership teams, boards, or external investors.
* Growth Mindset: Willingness to develop new skills through available learning and development.
Desirable:
* Corporate/Financial: An understanding of working in a listed business or experience liaising with analysts, brokers, investors, and other external parties.
