Responsibilities
1. Contract Administration: Support the preparation and issuing of contracts to freelancers and employees delivering services to our clients.
2. Extensions: Assist with contract extensions, including updating contract dates and documentation, and gathering signatures.
3. Compliance Checks: Make sure we have all legally required documents in place (e.g. ID, right to work, insurance, tax documents) and follow up if anything is missing or outdated.
4. Candidate Communication: Respond to questions from contractors regarding contracts and documents. Occasionally support simple rate discussions during extensions.
5. Team Support: Work closely with our recruiters, account managers, and finance team to ensure smooth onboarding and compliance.
6. Record Keeping: Update internal systems and trackers to reflect contract status, compliance progress, and extension deadlines.
What We’re Looking For
7. Some experience in administration, HR, recruitment, or office coordination is an advantage.
8. Fluent German (B2/C1 level) and good English communication skills are essential.
9. Strong attention to detail and a structured, organised approach to tasks.
10. Friendly and professional communication style, both written and spoken.
11. Basic skills in Microsoft Word, Excel, and email systems.
12. Willingness to learn and get involved in a fast-paced and supportive team environment.
