Job Title: C-Suite Executive Assistant

Location: Remote (working in UK work hours)

Working Hours: 5 days per week

Industry: Wellness and Longevity

Salary - £40,000 to £50,000

Role Overview:

We are seeking a highly organised, proactive and professional Executive Assistant to provide comprehensive support to senior leadership. The successful candidate will manage complex schedules, coordinate travel and communications, support strategic initiatives, and act as a trusted partner to the C-suite. This role requires exceptional discretion, strong organisational skills, and the ability to thrive in a fast-paced environment.


Key Responsibilities


Document & Information Management

* Draft, edit and format reports, proposals if required.
* Liaise with legal counsel to format and standardise document templates
* Maintain filing systems, databases and CRM platforms.
* Safeguard confidential information and ensure accuracy of documentation.


Calendar, Diary & Agenda Management

* Manage complex calendars and coordinate schedules across multiple time zones.
* Full diary management, including scheduling, prioritising and confirming meetings, appointments and events.
* Build and manage meeting agendas and ensure executives are fully prepared.
* Anticipate scheduling conflicts and proactively resolve clashes.
* Book and coordinate meetings, including logistics, attendees and materials.


Meeting & Event Suppor

* Prepare agendas and briefing materials.
* Coordinate logistics for board meetings, leadership events and client engagements.
* Take accurate minutes, distribute notes and track action items.


Travel & Logistics

* Organise domestic and international travel, including flights, accommodation, visas and transfers.

Prepare detailed travel itineraries and manage last-minute changes.


Stakeholder & Relationship Management

* Build trusted relationships with internal teams, senior leaders, clients and external partners.
* Acting as the primary liaison between the executive and internal/external stakeholders, screening calls and managing correspondence
* Represent executives with professionalism and discretion.
* Manage sensitive and confidential matters appropriately.


Working Hours & Availability

* Work primarily within UK business hours.
* Provide flexibility for occasional out-of-hours international calls and meetings when required.


Skills, Qualifications & Requirements

Technical Skills

* Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) or equivalent platforms.
* Excellent written communication and document preparation skills.
* Experience managing expenses, budgets or basic bookkeeping processes.
* Skilled in travel coordination, diary management and meeting organisation.

Experience Requirements

* Proven experience in administrative or executive support roles (typically 5+ years supporting senior executives).
* Strong technical proficiency with office software and scheduling systems.
* Demonstrated ability to manage sensitive information confidentially.
* Excellent interpersonal skills and stakeholder management experience.
* Ability to manage multiple projects simultaneously in a fast-paced environment.
* Flexibility to provide support outside standard office hours if required.
