Part-Time Executive Assistant
Location: Uxbridge
Hours: 21 hours per week
We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative and logistical support to a senior leader and wider team. This is a part-time opportunity (21 hours per week) based in Uxbridge for a large pharmaceutical client of ours, ideal for an experienced administrator who thrives in a fast-paced, professional environment.
The Role
As Executive Assistant, you will play a key role in ensuring the smooth day-to-day operation of executive and team activities. You will manage complex scheduling, coordinate travel, support communications, and handle sensitive information with the utmost discretion.
This position requires excellent judgement, strong attention to detail, and the ability to manage multiple priorities independently.
Key Responsibilities
Manage complex calendars, meeting coordination, and scheduling across multiple stakeholders
Arrange domestic and international travel, including itineraries and expense management
Provide administrative and office support, including correspondence and documentation preparation
Support occasional personal logistics coordination as required
Maintain confidentiality while handling sensitive department and company information
Develop strong working relationships across all levels of the organisation and with external contacts
Demonstrate strong written and verbal communication skills when liaising with internal and external stakeholders
Ensure high levels of accuracy in documentation, reporting, and data management
Use computer systems and software applications efficiently to improve administrative processes
Prioritise and manage multiple deadlines in a fast-paced and evolving environment
Work independently with minimal supervision, showing initiative and strong follow-through
Contribute to projects either independently or as part of a team
About You
Proven experience in an Executive Assistant, Personal Assistant, or senior administrative role
Strong organisational skills with the ability to manage competing priorities
Excellent interpersonal skills and confidence interacting with senior leadership
High level of discretion and professionalism
Strong attention to detail and accuracy
Proficiency in Microsoft Office and other administrative systems
Self-motivated with the ability to work independently
