Job Summary/Purpose
The receptionist is the face of Taylor Wimpey Manufacturing and the first person to welcome all visitors, suppliers, colleagues, and customers. You will operate our Teams incoming calls channel, ensuring all calls are answered promptly, queries dealt with where possible, and directed to the correct person when appropriate. You will also provide administrative support to internal office staff and directors as needed and carry out all administrative duties requested.
This role requires high levels of customer service skills and the ability to work efficiently under pressure, based in the reception area of Taylor Wimpey Manufacturing.
Primary Responsibilities
Handle phones and console management
* Answer the phone in a professional and courteous manner promptly.
* Determine callers' purposes and forward calls to the appropriate person or department, or interact on behalf of staff.
* Transfer calls as required.
* Take accurate messages from clients wishing to be called back.
* Deliver messages to the appropriate staff member.
* Assist the ITC in maintaining the phone system.
Visitor Liaison
* Welcome on-site visitors.
* Determine the purpose of visits and announce visitors to relevant personnel.
* Track key personnel movements within the building and when they are away from the office.
* Ensure visitors have the correct PPE for the area they will enter.
Other Duties
* Receive and distribute mail and parcels.
* Assist other departments as needed.
* Manage the meeting room calendar.
* Type standard letters and forms as required.
* Ensure staff log in and out of the office using the company logbook.
* Maintain staff and site contact details, updating regularly.
* Follow company H&S and security procedures for logging visitors.
* Raise Purchase Orders when needed.
Experience, Qualifications, Technical Requirements
* Receptionist experience preferred.
* Strong administrative skills.
* Experience working in a fast-paced, pressurized office environment.
* Excellent customer focus.
* Proficiency in Outlook, Word, Excel.
