Overview

Are you passionate about systems improvement, digital transformation, and delivering smarter ways of working? We are seeking a proactive and technically capable Inventory Management Systems & Training Officer to join our Supply Chain Transformation Team and play a key role in modernising how we manage inventory, technology, and clinical supply processes across the Trust. This is an exciting opportunity to contribute to high‑profile transformation programmes including Inventory Management systems, Scan4Safety, and integration with Point of Use scanning systems – helping to deliver safer, more efficient, and data‑driven services for patients and staff. Working with a high degree of autonomy, you will support the deployment, optimisation, and ongoing development of the Trust’s Inventory Management systems. You will ensure strong user adoption, compliance, and operational performance across both clinical and supply chain teams. You will become a key point of contact for specialist technical support, troubleshooting, systems training, reporting, and continuous improvement initiatives.


Key Responsibilities

* Support the successful rollout and adoption of Inventory Management systems across the Trust
* Coordinate technical support for Inventory Management and links to Point of Care systems
* Deliver engaging training and guidance to clinical staff and end users
* Provide ongoing user support and resolve system issues efficiently
* Monitor KPIs and performance dashboards using Power BI
* Manage and maintain the Inventory Management Power BI reporting platform
* Provide quality improvement, administrative, and systems support
* Support the Inventory Management Systems Manager with system implementation across clinical and corporate workstreams
* Contribute to wider Supply Chain Transformation projects across divisions and liaise with multidisciplinary teams
* Monitor progress of investment projects and business case investments against approved budgets and ROI
* Contribute to the development of project business plans


Inventory Management Systems Support & Implementation

* Support the Trust‑wide rollout and optimisation of the Inventory Management (IM) system
* Coordinate technical support for IM and its integration with Point of Care (POC) systems
* Act as a liaison between clinical teams, corporate services, suppliers and system providers
* Support system upgrades, configuration changes and testing
* Maintain system data integrity and ensure compliance with Trust procedures
* Engage with IM system suppliers and NHS Supply Chain to ensure effective contract and performance management


Scan4Safety Programme Support

* Provide systems and analytical support to Scan4Safety Leads and project teams
* Support the configuration, implementation and ongoing maintenance of Scan4Safety processes
* Ensure system functionality supports traceability, compliance and financial governance requirements
* Monitor system utilisation and produce effectiveness reports


Data Analytics, Reporting & Performance Monitoring

* Develop, maintain and enhance KPI dashboards using Power BI
* Manage and administer the Inventory Management Power BI reporting platform
* Produce regular utilisation, savings, ROI and performance reports
* Analyse data to identify trends, cost reduction opportunities and service improvements
* Support value‑for‑money reviews and contribute to savings targets
* Generate stock level and product rationalisation reports with recommendations to senior stakeholders


Quality Improvement & Service Optimisation

* Support development of analytical tools to improve service levels, reduce waste and optimise stock holdings
* Review and validate analytical tools developed by others for suitability and impact
* Monitor project progress against business cases and investment plans
* Support continuous improvement initiatives across clinical and corporate workstreams
* Identify new areas for IM implementation based on data‑driven insight


Training, Engagement & Stakeholder Support

* Provide comprehensive training and implementation support to new and existing system users
* Develop user guidance materials and documentation
* Respond to and resolve system‑related queries and issues
* Work collaboratively with multidisciplinary teams to embed system adoption and process change
* Promote a culture of data‑driven decision making and continuous improvement


Governance & Compliance

* Ensure adherence to Trust Standing Financial Instructions and Supply Chain operational policies
* Maintain accurate system documentation and audit trails
* Support reporting requirements for internal and external audits
* Ensure work undertaken meets the operational and strategic needs of end users


Scope & Accountability

* Trust‑wide systems and data support responsibility across multiple sites
* Responsible for maintaining accuracy and integrity of reporting platforms
* Contribute directly to delivery of savings targets, ROI monitoring and performance improvement
* Works independently within defined project frameworks and professional guidelines


Physical & Working Conditions

Predominantly office‑based with cross‑site working. Frequent attendance in clinical areas to support implementation and training.


Qualifications

* Degree or equivalent experience
* IT qualifications including Microsoft Office, particularly Excel
* Experience of Inventory Management Systems


Desirable Criteria

* Prince 2 or Agile Project Management qualification
