To support our progress, we are currently recruiting for a part time employee benefits administrator to come and join our team in our head office based in Ibstock, Leicestershire. Key Responsibilities Fleet Operations & Administration Manage the full lifecycle of company vehicles, including ordering, onboarding, allocation, and end-of-lease returns. Coordinate with leasing providers and internal stakeholders to ensure timely delivery and collection of vehicles. Maintain accurate fleet records, including vehicle documentation, driver assignments, and compliance status. Arrange and oversee vehicle valeting and preparation, ensuring vehicles are presented to a high standard, supporting with booking in vehicles that require servicing/attention before reallocation. Be comfortable driving a range of vehicles where required to support operational needs (e.g., vehicle movements, garage visits). Grey Fleet & Duty of Care Administer grey fleet processes, ensuring all drivers meet company and legal compliance requirements. Manage duty of care obligations, including licence checks, insurance verification, vehicle roadworthiness, and risk assessments via compliance system. Manage and maintain register of high-risk drivers, ensuring appropriate actions and follow-ups are completed. Hire Vehicles & Driver Support Review and approve requests for short-term hire vehicles, ensuring alignment with policy and cost control measures. Act as a point of contact for drivers, providing guidance on vehicle policies, procedures, and support queries. Coordinate replacement vehicles where required due to breakdowns, accidents, or servicing. Financial & Supplier Management Manage the fleet invoicing process, ensuring accuracy, timely approvals, and cost tracking. Liaise with third-party suppliers (leasing companies, garages, hire providers) to resolve issues and maintain service standards. Support audits and reporting requirements relating to fleet and driver compliance. General Administration Prepare monthly fleet reports. Support HR and finance teams with payroll-related benefit and fleet data. Ensure data accuracy and confidentiality in line with GDPR. Assist with policy development and process improvements. Support with other employee benefit administrative processes and activities. Qualifications and Experience Experience in fleet administration, employee benefits, or operational coordination roles would be an advantage but not essential Strong organisational skills with the ability to manage multiple priorities. Comfortable working with suppliers and managing administrative processes end-to-end. High attention to detail, particularly around compliance and record-keeping. Confident communicator with a proactive, service-focused approach. Full UK driving licence and willingness to drive different vehicles as required.
