Position Overview

Forthe Medical Secretary role you will work within a multi‑disciplinary team, and be responsible for a range of duties related to patient pathway management. The work will be mainly centred on audio transcription. You will be transcribing on behalf of our ENT and Endoscopy Consultants. Any experience of secretarial work in these areas is highly desirable. You will be word‑processing clinical letters, and other correspondence as required by the Medical Team.


Main duties of the job

* Assist with the typing of all correspondence related to clinics, as well as typing departmental correspondence.
* Regularly liaise with the Team Leader for Secretarial Services to ensure departmental key performance indicators are achieved.
* Receive enquiries from consultants and staff, resolving complex enquiries and dealing with them appropriately.
* Liaise professionally with all departments regarding appointments, waiting lists and cancellations, ensuring Beacon Medical Services Group’s policies are adhered to.
* Co‑operate in the introduction of new procedures, policies or technology, assisting managers in its implementation.
* Take responsibility for patient notes in the office, and implement secretarial and administrative policies to track medical records and referral letters.
* Participate in appraisals and personal reviews, and work to achieve agreed objectives.
* Participate in appropriate training and development activities.
* Take responsibility for all related patient notes, ensuring confidentiality and proper archiving.
* Open and distribute post, prioritising urgent items and ensuring relevant documentation is attached, and act promptly on all e‑mail correspondence.
* Provide cross‑cover for the secretarial team during annual leave and sickness.
* Maintain filing systems, ensuring all documents are accurately and appropriately archived.
* Compile and maintain an up‑to‑date secretarial job plan/cover folder for the team.

Job responsibilities

JOB PURPOSE

Manage day‑to‑day secretarial work, with regard to typing of Consultants correspondence. Work as part of a team providing secretarial support for the consultants, with particular responsibility for ensuring clinical correspondence (clinic tapes, imaging reports, discharge summaries) are produced in a timely fashion as delegated by the Team Leader.

Person Specification


Experience

* Minimum 2 years audiotyping experience.
* Minimum 2 years admin experience.
* Experience working in a medical setting.


Qualifications

* GCSE grade A to C in English and Maths.
