We are currently recruiting an EO1 - Communications Officer for our client based in Belfast. The successful candidates will be required to start once the vetting paperwork and ANI completed. Start date: ASAP Rate of pay: £17.43 per hour Hours of work: Monday to Friday ( Flexible working hours between 8am – 6pm. Core hours 10am – 12pm and 2pm – 4pm. ) Location: Royal Courts of Justice - Belfast Key Responsibilities: The main purpose and objective of the EO1 within the LCJO Private Office is to build effective working relationships with other Justice Agencies such as DOJ, NICTS and PPS, PSNI and ensure effective communications with staff, judiciary and external stakeholders such as media and to provide appropriate support to the wider LCJO teams to support business needs. The successful applicant will report directly to the Staff Officer and will be responsible for the following broad areas; -Communications and Media Support - Distribution of judgment summaries to the media as required including social media channels including proof reading all summaries before issue. - Develop an awareness and understanding of the media landscape. - Maintenance and update of media enquiries database. - Maintenance and update of media contact database. - Running reports to review cases with Reporting Restriction Orders in place – daily. - Review newly confirmed Reporting Restrictions and Anonymity Orders on a daily basis. - Provide advice to court offices and judiciary on appropriate legislation for these orders and recommend amendments as and when required. - Notify media by email on a daily basis of Reporting Restriction and Anonymity Orders confirmed the previous day - Provide factual replies to journalists' enquiries in accordance with their timelines, where possible. - Monitor correspondence to the LCJ Office Inbox daily and respond to queries accordingly. - Assist the management team with research to inform responses to correspondence (as applicable) - Update the JudiciaryNI Website when required (on Drupal) – upload publications, court guidance and maintain the list of judiciary page etc logging requests with IT Assist as required. - Uploading content to the Judicial Hub (Intranet) on SharePoint – guidance, notifications on the noticeboard etc. - Management of all judicial media interview requests - Process court filming approval requests - Draft, summarise and issue various comms notices to judiciary (guidance notices, event notices etc) and occasionally co-ordinate responses. - Records management and saving on Content Manager Resource Management - Assist the Budget Co-ordinator as required with planning and monitoring of the LCJO Operating and judicial travel budgets (including the initial bid and monitoring rounds). - Assist with staffing budget management as required and arranging salary recoupments as a result of staff moves etc. - Assisting with payment arrangements for Recruitment of Agency Staff/Judicial Assistants - Preparing and sending monthly returns to Finance Branch in accordance with their deadlines (eg accruals and cash management). - Process / approve ad hoc invoices for the LCJO on Account NI within required timescales. Judicial Transport - To arrange judicial transport for official business with the chauffeur car contract provider as required. - To assist with managing the contract and checking CTC clearances of drivers. - To check and process monthly invoices from the chauffeur car provider on Account NI within required timescales. - To monitor spend on the chauffeur car contract. Judicial Salaries and Pensions - Provide support on the SSRB Reviews as required - Monitor and save judicial pay/pensions communications. - Liaise with judicial pay/pension representatives and issue information to judiciary as and when required The postholder will have line management responsibly for one Administrative Officer. Essential Criteria applicants must have: - Good written and oral communication skills. - Well developed interpersonal skills, the ability to communicate confidently, tactfully, and when necessary assertively on all levels. - Well-developed organisational skills, time management skills, and the ability to prioritise effectively and adapt to new situations as they arise. - Ability to work flexibly on one’s own initiative without direct supervision, to work under pressure, frequently to tight deadlines and to recognise when seek to assistance, as required. - Ability to interpret and analyse information including anticipating and managing problems; - Ability to work collaboratively; share information, build supportive responsive relationships with colleagues and stakeholders thereby establishing good working relationships; - Knowledge of management principles and administrative processes, in accordance with GDPR; - Sound working knowledge of IT systems, in the use of Windows applications including Word, PowerPoint, Project and Excel and use of the internet and other basic IT skills. - 5 GCSEs with a minimum of 12 months’ experience in an office environment incl.
