Operations Coordinator Location: Duality Healthcare Belfast HQ, Northern Ireland (with regular requirement to visit clinics) Reports to: Regional Operations Manager Role Purpose At Duality Healthcare, we believe healthcare should feel personal, accessible, and centred on people, not processes.Our Operations Coordinator will play a key role in supporting the Regional Operations Manager to ensure the efficient and effective running of daily operations across our private GP practices. This position is integral to maintaining operational continuity, supporting clinical teams, and enhancing patient experience through robust administrative coordination. This role is all about being organised, taking the initiative to pre-empt issues, being approachable and proactive in order to help us deliver the highest standards of care in a welcoming environment. Key Responsibilities Inbox and Communication Management Monitor and manage shared inboxes (e.g., info, recruitment) Triage, respond to, and forward emails to relevant team or Department Head in a timely manner Meeting Coordination Schedule meetings and manage calendar invites Prepare agendas and record accurate minutes Distribute action points and follow-up plans Rota Management Collate clinician availability and draft weekly rotas Identify and escalate rota gaps Circulate weekly cover updates to practices Stock and Equipment Oversight Collate monthly Practice orders Liaise with suppliers and practice coordinators regarding access for deliveries and confirmation of deliveries Monitor equipment servicing schedules and coordinate maintenance Marketing Support Provide monthly operational updates to the Marketing team for newsletter inclusion SharePoint & Systems Maintenance Maintain and update SharePoint folders and documentation HR Administrative Support Assist HR Department with onboarding processes Distribute induction packs Ensure staff access to TeamNet, EMIS, and email systems Coordinate mandatory training sessions General Administrative Duties Support ad hoc projects (e.g., compiling staff databases and spreadsheets) Provide cross-departmental administrative support Patient Facing Administration Process Subject Access Requests (SARs) and prepare documentation for GP review Person Specification Essential Skills & Experience Previous experience in administrative or operational support roles, ideally within healthcare Strong organisational and time management abilities Excellent written and verbal communication skills Proficient in Microsoft Office Suite and SharePoint Ability to manage multiple priorities effectively Familiarity with EMIS and TeamNet systems (desirable) High level of discretion and professionalism when handling sensitive information Benefits Supportive and collaborative team environment Opportunities for professional development Competitive salary and benefits package Contribution to high-quality patient care through operational excellence Other Information - Hours: Full Time - Salary: £27,300 per annum - Contract: Permanent with 6 months Probation - Benefits: Pension scheme, training opportunities, supportive team culture, mileage Duties as outlined are descriptive, not exhaustive and may be changed or added to over time.
