Part-time Forensic Administrator - HMP Huntercombe

We are looking for a part-time Forensic Administrator to join our team at HMP Huntercombe near Henley. You will work with senior members of the multidisciplinary team to provide direct administrative support. We are looking for an enthusiastic, flexible, empathetic and self‑motivated individual to work within our team.

You’ll need to have proven administrative experience with a good eye for detail, excellent communication, administrative and organisational skills. Knowledge of Microsoft Office suite, managing diaries and minute taking is essential. You’ll be liaising with employees at all levels so you’ll need to be comfortable handling contacts with compassion, patience and professionalism.

This role would suit someone who enjoys being busy with a variety of duties, working as part of a team, and using their own initiative. This is an important and rewarding role which helps us run an efficient service across the prison.

Working hours for this role are Wednesday, Thursday and Friday on‑site at HMP Huntercombe; we are not able to offer any remote working for this position. This role includes an RSU allowance of £1,446 per annum on top of your salary.


Main duties of the job

* Produce correspondence and reports as required for the MDT.
* Organising and attending meetings, preparing agendas, ensuring all appropriate arrangements have been made prior to meetings, including collation and distribution of any relevant papers, taking minutes, and ensuring their timely
* Ensure electronic diaries/System1 ledgers are efficiently maintained and coordinated for the multidisciplinary
* Receiving complex or sensitive information, and ensuring that the information is shared with clinicians in a timely manner
* Entering patient information into System1 ensuring the information is entered accurately and in a timely This includes updating demographic information, uploading correspondence, creating new referrals and endings as needed.
* To work with, and support, other forensic administrators to maintain a comprehensive and equitable administrative service. To provide cover for other administrators in times of absence.

Person Specification


Qualifications - Academic/Skills/Professional

* Educated to A-levels or equivalent qualification, or significant relevant experience in a relevant field
* Formal Secretarial Training (eg RSA) or other business administration qualification


Knowledge Requirement

* Good written and verbal skills
* Working knowledge of the internet
* Knowledge of Microsoft Office Packages including Outlook and Calendar
* Some knowledge of Criminal Justice System and Mentally Disordered Offenders


Experience

* Experience of working in an administrative role
* Word processing experience with both audio and copy typing
* Experience of servicing meetings including minute taking
* Previous experience working in a mental health setting
* Previous experience within an NHS/healthcare setting


Personal Qualities

* Good organisational skills and the ability to work under pressure
* Ability to liaise with all professions and clients in a confident, helpful and effective manner
* Ability to prioritise own workload
* Excellent telephone manner
* Able to work under pressure
* Commitment to safeguarding and promoting the welfare of children, young people and vulnerable adults.
* Understanding of GDPR and the Data Protection Act
* Able to travel to different sites

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.

£28,392 to £31,157 a year plus an RSU allowance of £1,446 per annum | pro rata
