This is an office-based role in our Cambridge office, with an expectation of 5 days per week.

In your role as Facilities Assistant, you will help us achieve our goals by ensuring the Cambridge office has a comfortable, safe and enjoyable working environment and has everything they need so they can focus on delivering our brilliant product to our customers.
Responsibilities
* General Facilities
o Supporting with site visits relating to the building and facilities
o Assist in scheduling and overseeing maintenance tasks, ensuring facilities are safe and operational including repairs and preventative maintenance
o Reporting security and health and safety concerns
o Handling team member requests, logging faults, and coordinating with contractors
o Keeping track of supplies and equipment, ordering replacements as needed
o Assisting the Facilities Manager with other tasks as required
* Health & Safety and Security
o Daily morning checks of fire routes and exits to ensure escape routes are kept clear
o Weekly fire alarm testing
o Organising and supporting with R&M visits for fire and security equipment
o Support with monitoring CCTV and reporting anything of concern to the Facilities Manager
o Ensuring documentation, inspection logs and policies are kept up to date
* Reception Management
o Manage the guest checking in process
o Perform regular checks of access control logs and monitor team member access
o Ensure reception is clean, tidy and guest ready
o Be on hand to assist team members and visitors with general queries
o Regularly check the voicemail messages on the main phone line and pass relevant messages onto team members
* Office Support
o Daily morning checks of the meeting rooms to ensure space is tidy and equipped with appropriate resources and all IT equipment is working
o Prepare meeting rooms and common areas for events, ensuring all necessary equipment is available and functioning
o Check the meeting room system to ensure it continues to work seamlessly
o Ensure meeting room space is tidy and equipped with appropriate resources and all IT equipment is working correctly throughout the day
o Support and coordinate any shipping requirements between Visa offices
o Track and manage supplies or stationery and other items needed to maintain operational efficiency
This is an office-based position, with the expectation of 5 days per week in our Cambridge office.
Qualifications
Required experience:
* Experience of working in a facilities/office manager role
* Experience of working on reception within an office environment
* Experience using IT systems, in particular Microsoft Office
* Excellent customer service skills
Great to have:
* Familiarity with basic maintenance tasks, or a willingness to learn
* Qualification in IOSH or similar
* First Aid and/or Fire Marshall Training
