Cobalt Recruitment is delighted to be representing a leading UK managing agent in the appointment of a Building Manager to take operational responsibility for two high-profile commercial assets in Central London. The portfolio comprises a 60,000 sq ft premium office building and a recently acquired 97,000 sq ft mixed-use property incorporating office and ground floor retail accommodation, offering a varied and hands-on management remit across circa 157,000 sq ft. This role will suit a commercially aware Building Manager seeking ownership of established, high-specification assets, with direct exposure to client reporting, occupier engagement, compliance management and service charge control.
The successful individual will act as the on-site representative for the landlord, ensuring the buildings are managed to a consistently high standard, with a strong focus on statutory compliance, contractor performance, occupier experience and financial oversight.
Key responsibilities:
Act as the primary on-site contact for occupiers, responding to service requests and maintaining high levels of customer service.
Undertake regular building inspections, identifying defects and coordinating remedial works.
Lead day-to-day site operations, managing contractors and coordinating access via a robust Permit to Work system.
Oversee hard and soft service partners, monitoring KPIs and holding regular performance review meetings with account managers.
Manage Planned Preventative Maintenance (PPM) schedules and reactive works through the appointed helpdesk system.
Maintain full statutory compliance records via CAFM/compliance platforms, ensuring adherence to LOLER, fire safety, insurance inspections and associated regulations.
Act as Fire Warden and First Aider (subject to training), supporting emergency preparedness and incident response.
Log and manage incident reports, ensuring all health & safety documentation is audit-ready.
Conduct annual occupier compliance audits and support building insurance claims processes where required.
Administer the facilities helpdesk, raise and track purchase orders, and assist with service charge invoicing for key suppliers.
Support preparation, monitoring and reconciliation of service charge budgets, reviewing expenditure against forecast.
Review and coordinate occupier fit-out proposals, Applications to Alter and Wayleave submissions in line with landlord procedures.
Contribute to client reporting and attend regular client meetings, providing operational and financial updates.
Applicants will demonstrate proven experience in facilities or property management within a commercial office or mixed-use environment, with exposure to managing managing agents or landlord-held assets. Strong working knowledge of statutory compliance processes and CAFM systems is essential, alongside experience supporting service charge budget preparation and expenditure control. IOSH qualification is required, and candidates must be confident managing contractors, engaging directly with occupiers and contributing to client reporting. This role would suit an established Building Manager or an experienced Assistant Building Manager ready to take full operational ownership of multi-let assets.
