FM ADMINISTRATOR Location: Justice & Immigration, Lowfield Heath, Gatwick RH6 0PQ Salary: Upto £31,000.00 per annum plus Serco benefits Schedule: 40 hours per week Monday – Friday 8am – 4.30pm Ready to impact a better future? As a FM Administrator in our J&I team, you’ll support the successful delivery of our facilities management contract, ensuring all administrative elements align with SLA and KPI requirements. This is a key support role within the contract team, offering variety, responsibility, and the opportunity to contribute to operational excellence. As FM Administrator, you will be the backbone of the contract’s administrative function, ensuring smooth coordination, accurate reporting, and effective communication across teams and contractors. What you’ll do as a FM Administrator Operate the Facilities Helpdesk using the CAFM system as the first point of contact for logged issues Provide timely updates to stakeholders on reported tasks Maintain and update asset records within the CAFM system Produce reports and forecasts from system data Support procurement activities within approved frameworks Assist with contractor coordination and supplier vetting Monitor and record purchase orders and expenditure Support task allocation for engineers Process payroll timesheets, overtime, sickness, expenses and travel Maintain personnel files and assist with contractual and financial queries Provide project management support where required Offer cover for other administrators when needed Although this role has no direct reports, you may guide and mentor colleagues when appropriate. Strong PC skills across multiple applications Working knowledge of CAFM systems Excellent organisational and analytical abilities Ability to produce detailed reports from raw data High attention to detail and record-keeping accuracy Confident communicator at all levels, both written and verbal Ability to meet deadlines in a fast-paced environment Awareness of health & safety practices Desirable: Background in Facilities Management or building management Understanding of project management principles Vetting and checks: An Enhanced DBS check is required for this role. This includes spent and unspent convictions, cautions, and any relevant information held by local police, in accordance with the Rehabilitation of Offenders Act and safeguarding requirements.
