Lead Pharmacy Assistant Homecare

The closing date is 01 December 2025

Supporting the pharmacy homecare team to provide the countywide homecare service to all acute trust patients as appropriate.

Ensuring that all SOPs, policies and guidelines are followed at all times.

Providing efficient and effective administrative support for the pharmacy homecare team.

Responsible for organising and forwarding prescriptions to the correct homecare company, keeping records and receiving receipts for all scripts sent, providing a full audit trail.

Receiving drugs and relevant accessories onto the pharmacy computer system correctly and in a timely manner, matching proof of delivery and invoice to orders, ensuring correct pricing, escalating errors immediately.

Maintaining up-to-date records of invoices passed to pharmacy finance for payment.

Maintaining records of homecare invoices, chasing outstanding invoices and escalating as appropriate.

Passing invoices for payment accurately and in a timely manner, including those not relating to Homecare.

Producing workload statistics as required.

Acting as an ambassador for the pharmacy service.

Leading, motivating and managing pharmacy staff assigned to the post, ensuring they actively and effectively contribute to the aims of the service, are trained and assessed as competent, and are aware of the expectations of them.

Qualifications

* GCSE Grade C or above in English, Maths and Science (or equivalent).
* NVQ Level 2 in pharmacy technical services or working towards it (or equivalent Pharmacy qualification).
* Previous successful completion of a combination of courses, training and study days to obtain knowledge of Pharmacy Systems, Pharmacy Procurement Policies and Procedures, plus knowledge of how to deal with a range of routine and non-routine activities, answering queries, progress chasing and task related problem solving.
* Supervisory or team leadership course.


Experience

* Recent and relevant experience of successfully delivering technical pharmacy services or pharmacy procurement services as a pharmacy assistant in a hospital or community setting.
* Experience and knowledge of medicines and pharmacy policies including naming, handling and storage practices.
* Experience of how to deal with a range of routine and non-routine activities, work allocation, problem solving for a team or area of work, answering queries, progress chasing, and task related problem solving.
* Experience of successfully working under pressure and with pressurised deadlines e.g. dealing with prescriptions for medicines required very urgently or in an emergency.
* Proven recent experience of successfully delivering technical pharmacy services as a Senior Pharmacy Assistant in a hospital/retail setting.
* Ordering medicine stock where accuracy is of the utmost importance.


Skills and Knowledge

* Work to a high level of accuracy, giving attention to detail.
* Full range of organisational and office management skills.
* Highly developed interpersonal skills.
* Excellent communication skills, able to record details accurately and neatly.
* Extensive experience and skilled at using Microsoft Office packages (Word, Excel, Teams and Outlook).
* Experience and skilled at using the internet, intranet and online information resources.
* Skills to use and maintain IT systems for managing computer files, and the Pharmacy system to determine the status of orders and invoices, correctly receive and invoice goods, and identify and correct errors when necessary and appropriate.
* Possesses analytical and judgement skills for solving complex supply and invoicing issues, answering queries, progress chasing, finance purchase order related problems with external suppliers, and task related problem solving face to face and over the telephone or via Teams.
* Numeracy and ordering skills to be able to receive stock, check and reconcile invoices and ensure the correct price is paid for the drugs ordered.
* Ability to cope with pressure, multi task and prioritise own work to meet set deadlines.
* Knowledge and understanding of the importance of Safe Systems of Working in Pharmacy.
* Up to date knowledge of Health and Safety at Work including COSHH and Manual Handling as it applies to pharmacy.
* Up to date knowledge of medicines and procurement practices.
* Current understanding of the issues facing pharmacy purchasing services within the NHS.
* Knowledge of quality assurance.
* Knowledge and experience of developing, managing or improving Standard Operational Procedures.
* Knowledge and experience of using of the Pharmacy system EMIS.
