Offer description

Full-time and Part-time roles available. Experience within the Dental industry is not essential but beneficial; prior office experience is also preferred. Onsite training is provided.

The ideal candidate would have strong attention to detail, ability to work without supervision, excellent time management skills, exceptional communication and customer service skills, proficiency with Microsoft Office programs, strong prioritization and organization skills, ability to handle confidential information, strong record keeping skills, and ability to multitask.

Role Outline:

To carry out effective administration to ensure smooth flow of office procedures through to the laboratory. Supporting the office manager by carrying out office duties and maintaining a positive and friendly company image by acting as the first line of contact to visitors, customers, online, and predominantly via telephone. Onsite training is provided.

Office Administrator Job Duties:

1. Unpacking incoming dental impressions and booking these into our bespoke software package.
2. Booking out completed laboratory work on bespoke software package and contacting our customer base for missing information or to adjust completion dates via email and telephone.
3. Invoicing customers at end of month.
4. Maintaining our recording database and bespoke software customer log.
5. Diary management.
6. Taking card payments.
7. Liaising daily with drivers and couriers as requested.
8. Managing incoming correspondence by answering phone calls and emails.
9. Managing reception area and looking after visitors.
10. Answering all incoming phone calls and either dealing with enquiries or transferring them as necessary.
11. Maintaining stock lists and ordering office supplies as needed.
12. Interacting with directors and carrying out their requests.
13. Assisting the office team leader with yearly compliance and renewals, maintenance logs, accounts functions, and any other tasks as required.
14. Photocopying and filing appropriate documents as needed.
