Personal Assistant/Administrator

An opportunity has arisen to appoint for a Personnel Assistant/Administrator to support the Lead Nurse for Research and Development and Research Matron Team at Sheffield Teaching Hospitals NHS Foundation Trust.

The Lead Nurse has professional responsibility for Clinical Research Nurses employed in the Trust through the Research Matron Team.

The post holder will provide assistance to the Lead Nurse including diary management and provide a pivotal role in supporting the Lead Nurse to manage a busy work schedule.

The post holder will also provide administrative support to the Research Matron Team, as required. The post holder will be based in the NIHR Sheffield Clinical Research Facility (CRF) and develop close links with the Clinical Research and Innovation Office (CRIO).


Main duties of the job

To provide a comprehensive secretarial and administrative service to support and assist the Lead Nurse and Research Matron Team

To develop, maintain and review efficient and effective administrative systems to support the Lead Nurse

To act as a first point of contact for the Lead Nurse, and Research Matron team, dealing with, or referring as appropriate, internal and external enquiries in an efficient and professional manner, verbally and by email, prioritising as required

To participate in ad hoc projects as they arise, taking responsibility for specific areas as appropriate.

The NIHR Sheffield Clinical Research Facility is a joint venture between the University of Sheffield and Sheffield Teaching Hospitals NHS Foundation Trust. Use of the facility is available to all clinical researchers and provides a specialist environment for the conduct of high-quality clinical research. The CRF staff, both clinical and non-clinical, work with investigators to ensure research carried out in the CRF is of the highest possible standard and adheres to Research Governance and the Regulatory Framework.

The CRF is based across the two main acute sites of the Trust, the Royal Hallamshire Hospital (RHH) and the Northern General Hospital (NGH). Both sites provide access to highly skilled research nurse and admin support to Investigators across all clinical areas.

Person Specification


Education and Qualifications

* GCSEs (including English and Maths) at Grade 4/C or above or equivalent
* RSA stage 3 typing qualification or demonstrable experience
* NVQ Level 3 in Business Administration or demonstrable experience
* A levels in any subject
* European Computer Driving Licence


Experience

* Significant recent experience and knowledge of full range of secretarial/administrative procedures
* Extensive experience of planning and scheduling of meeting cycles and of resolving scheduling conflicts.
* Significant relevant experience as an administrator working within a busy office environment, developing and improving systems, providing secretarial support to the Lead Nurse and CRF Team, dealing with people at all levels and contributing positively to the team.
* Experience of dealing with staff at all levels of an organisation, including at Board-level.
* Experience of supporting meetings, including issuing agendas and papers
* Experience of taking and transcribing minutes at Board level
* Experience of diary management
* Experience of working within a research, NHS, university or other public sector environment
* Experience of internal and external communications
* Understanding of health service research and the legislative and regulatory arena.
* Knowledge of departments within in the Trust


Skills and Knowledge

* Be a pro-active team-player with the ability to work independently and without direct supervision. Ability to prioritise workload of others
* Possess excellent organisational skills and the ability to work accurately, particularly when dealing with conflicting deadlines
* Be able to monitor and plan in advance own workload and prioritise according to the Lead Nurses' and Research Matrons teams needs across the Trust
* Possess good literacy and numeracy skills and the ability to understand, record, communicate and analyse verbal and written information.
* Possess strong IT skills that must include Microsoft Word, Excel, PowerPoint and Access.

* Deal professionally with departmental and external queries, referring on as appropriate.
* An understanding of the sensitivity surrounding confidential issues.
* Evidence of continued professional development
* Motivated
