Key Responsibilities
* Knowledge of a full range of secretarial procedures and software programmes through RSA3/NVQ3 or equivalent experience
* To be able to use SystmOne, the Trust’s electronic health record system
* Ensure a full, efficient and Secretarial / Administrative service is provided.
* Provide comprehensive personal assistant support.
* Set up the necessary systems for the office and adapt these as necessary within the developing role.
* Manage heavy diary commitments to enable smooth running of the schedule.
* Ensure high level of confidentiality especially with regard to client related work.
* Ensure letters, memos and reports from the Department are of high quality.
* Responsible for ordering items, checking within budgets, ensuring goods are received
* Responsible for disseminating information to all qualified and unqualified staff in a timely manner.
* Supervise and monitor return of requested information, documentation and work streams from the operational team to the office to ensure effective workflow.
* Provide cover for other Secretarial / Administrative staff when required
* Organise meetings as appropriate including preparing the agenda, obtaining and compiling and preparing support papers.
* Organise workshops as appropriate including booking
