Operations & Compliance Executive / Customer Success Manager
Reports to: Director and founder
Location: Waterloo, London (Hybrid) 4 days in the office with 1 day from home
Overview
We are seeking a highly organised and detail-oriented Operations & Compliance / Customer Success Manager to join our operations team. This is ideal for someone looking to build a career in operations, compliance, or administration within a fast-paced, people-focused environment.
You will be responsible for reviewing new deals entered by the sales team, ensuring compliance documentation is collected, issuing contracts, and maintaining accurate contractor and client records in our systems, as well as acting as main point of contact for both contractors and clients. You will also provide day-to-day support to the Director in an executive capacity.
Key Responsibilities
Deal Processing & Contract Administration
* Review incoming deal information submitted by the sales team to ensure accuracy and completeness.
* Issue contracts to contractors and clients in line with agreed terms and internal processes.
* Help with reviewing terms with clients to ensure they meet company standards and requirements.
Compliance Management
* Proactively chase contractors for required compliance documents (e.g., IDs, right-to-work, insurance, certifications etc).
* Ensure all compliance-related data is accurately logged, tracked, and updated in the system.
* Flag missing or non-compliant information to the Operations Executive and Director when needed.
Timesheet Portal & System Management
* Create and update contractor, client, and placement records within the Trova timesheet portal.
* Maintain data integrity and ensure all information is up-to-date for payroll and billing processes.
Executive & Administrative Support
* Provide general support to the Director, including scheduling, document preparation, and ad-hoc administrative tasks.
* Assist in preparing reports, tracking KPIs, and supporting operational projects when required.
* Help streamline internal processes and contribute to continuous improvement initiatives (We love new ideas that help us improve).
Skills & Qualifications
Essential
* Strong attention to detail and ability to work with high accuracy.
* Excellent organisational and time-management skills.
* Confident communicator with the ability to chase information professionally.
* Advanced in Microsoft Office (Excel, Outlook, Word).
* Willingness to learn systems and processes quickly.
* Ability to multitask and prioritise workload in a deadline-driven environment.
Desirable
Previous experience with the below is not required but is a bonus.
