Administrator (6 month contract)


Location: Brentwood, Essex


Salary: £29,


Hours: Monday-Friday, 9am - 5pm


Benefits: 20 days holiday, pension scheme, parking on site


Are you organised, proactive, and confident working in a fast paced environment? Our client is expanding and is looking for a dependable Administrator to support their busy workshop team, initially on a 6 month contract basis, with the potential of a permanent role offered after the initial contract period.


As an Administrator, you will work closely with the Workshop Manager, Company Directors, and wider team to keep operations running efficiently. You will handle customer communication, schedule management, finance administration, and compliance tasks while ensuring all records are accurate and up to date. You will be part of a friendly, supportive team, but also trusted to work independently with minimal supervision.


Key Responsibilities


Front Office & Customer Communication



1. Provide front of house reception support: greeting visitors, drivers, and handling deliveries

2. Answer incoming calls and manage messages professionally

3. Manage shared email inboxes and internal communication applications

4. Ensure customers are updated promptly and accurately



Workshop Coordination



5. Book in vehicle work and liaise with the Workshop Manager and Directors

6. Maintain MOT and inspection schedules (Excel-based)

7. Book MOTs and send inspection reminders

8. Process inspection sheets and chase technicians for any missing paperwork

9. Maintain accurate vehicle records



Finance & Administration



10. Process supplier invoices with correct coding using accounting and billing systems

11. Add and reconcile parts invoices

12. Resolve discrepancies on supplier and customer invoices

13. Prepare and send weekly customer invoices

14. Process parking charges, congestion fees, and fines, ensuring correct customer recharge

15. Carry out general office duties including filing, scanning, photocopying, and data entry



Hire Fleet & Compliance



16. Maintain compliance records and spreadsheets for hire fleet vehicles

17. Liaise with hire fleet customers

18. Prepare and send invoices and compliance documentation for hire start/end

19. Maintain vehicle file records



What We're Looking For



20. Proven experience as a Workshop Administrator or Accounts Administrator

21. Background in a vehicle workshop (HGV/commercial experience desirable)

22. Strong customer service and communication skills

23. Confident using Intuit QuickBooks Online (or similar accounting software)

24. Advanced Excel ability - financial formulas, spreadsheet creation, data management

25. Excellent numerical accuracy and data entry skills

26. Strong organisational and time management skills
