Purpose of the Role
We are looking for a highly motivated Compliance Administrator to join our Compliance Team to manage apprentice records, deliver best practice controls and processes and ensure Apprentify complies with all Education and DFE funding rules.

Reporting to the Compliance Manager, the role covers a range of administrative tasks and requires co-ordination with apprentices, employers, end-point assessment organisations and internal stakeholders to ensure apprenticeship paperwork is completed efficiently, accurately and in accordance with DFE rules and regulations.

Your responsibilities will include scheduling exams and assessments, performing checks on programme controls, ensuring evidence is supplied to support funding claims, developing and maintaining effective compliance processes and procedures and conducting regular audits on evidence packs. You will also provide support to apprentices, employers and internal staff to communication assessment and compliance procedures.

The Compliance Administrator plays a critical role in ensuring that Apprentify maintains a culture of compliance by providing training to colleagues, employers and apprentices on compliance related matters. You will be working in a supportive, friendly and collaborative team, ensuring that we deliver an excellent service, whilst adhering to DFE apprenticeships rules.

Key Responsibilities End-Point Assessment (EPA) Coordination
· Plan and co‑ordinate end‑point assessment exams for apprentices, working collaboratively with apprentices, employers, EPA bodies and internal colleagues.
· Manage and prioritise queries through the dedicated end‑point assessment inbox.
· Carry out online exam invigilation.
· Ensure accurate flow of EPA-related information across the organisation to support smooth operations.

Compliance and Quality Assurance
· Carry out compliance checks on data and documentation, updating systems and communicating issues or queries to stakeholders.
· Complete compliance checks for all apprentices, ensuring evidence is robust and meets DFE funding rules and regulations, resolving issues in collaboration with relevant stakeholders.
· Support the compliance team with the monthly ILR return, ensuring ILRs are accurate, error‑free and compliant with funding guidance.
· Identify and share best practice to ensure the consistent delivery of highly compliant services.
· Contribute to a culture of continuous improvement within the Compliance Team, supporting the development of better, more efficient processes.

Data and Systems Management
· Update internal process documents to reflect changes to procedures.
· Update monthly operational data reports and tracking systems.
· Ensure the smooth and timely flow of data within the organisation to support wider business operations.

General Duties
· Participate in the Apprentify Appraisal Scheme.
· Comply with all Apprentify policies and procedures.
· Demonstrate a strong commitment to Safeguarding and Prevent, ensuring this is embedded in all aspects of the role.
· Work to Apprentify's compliance standards in line with organisational systems.
· Provide information on best practice and deliver staff training as appropriate.
· Maintain and develop professional knowledge through ongoing CPD.
· Ensure punctual arrival at the workplace in line with agreed working hours.

Essential Skills & Experience
· Qualified to Level 2 standard in English and Mathematics.
· Entitled to live and work in the UK.
· Experience in paperwork processing and completing compliance checks.
· Experience of working in a busy office environment.
· Good working knowledge of office applications including Word, Excel and Microsoft Teams.
· Understanding of DFE ‑funded programmes.

Skills
· Proficient in the use of management information.
· Strong analytical and problem‑solving skills.
· Strong organisational skills with the ability to work to tight deadlines and prioritise effectively.
· Ability to use initiative and plan workload to meet changing priorities
· Ability to develop and maintain effective working relationships internally and externally.
· Excellent attention to detail with the ability to produce accurate work.

Desirable
· Experience of working with Education and Skills funding systems.
· Experience of planning and scheduling end‑point assessments.
· Knowledge of ILR processing.
