We are seeking an organised and professional Medical Secretary to join our busy and friendly healthcare team. The successful candidate will provide high-quality administrative and secretarial support to clinicians, ensuring the smooth running of day-to-day operations.
Main duties of the job
Key Responsibilities
Managing and prioritising incoming correspondence, including emails, letters, and reports
Preparation of clinical documents and patient letters
Coordinating appointments, clinics, and meetings
Maintaining accurate patient records in line with confidentiality policies
Handling telephone and face-to-face enquiries in a professional manner
Liaising with healthcare professionals, patients, and external organisations
Supporting clinicians with administrative tasks as required
About us
We are a large, busy practice of 15900 patients. There are 4 GP partners and 4 salaried GPs, a large multi-disciplinary team of paramedics, advanced nurse practitioners, nurses, health care assistants, pharmacists and physiotherapist as well as very busy admin team. The post will be part of our secretarial team of four.

The Medical Secretary provides comprehensive administrative and secretarial support to GPs and the wider clinical team within a busy GP practice. The role is essential in ensuring efficient patient care by managing correspondence, referrals, and clinical documentation in line with NHS and practice protocols.
Key Responsibilities
* Provide secretarial support to GPs and other clinicians
* Process and manage referrals (e.g. eRS NHS e-Referral Service) accurately and promptly
* Type clinical correspondence, including referral letters, reports, and patient summaries
* Manage incoming and outgoing post, including hospital letters and test results
* Maintain accurate and up-to-date patient records using clinical systems (e.g. EMIS, SystmOne)
* Liaise with hospitals, community services, and other healthcare providers
* Track and follow up referrals to ensure continuity of care
* Support with summarising patient records when required
* Handle patient queries related to referrals and administrative requests
* Ensure all work complies with NHS guidelines, GDPR, and confidentiality policies
* Assist with administrative tasks such as scanning, filing, and document workflow management
* Working Conditions
o Based within a GP surgery or primary care setting
o Regular use of computers and clinical systems
o Interaction with patients may be face-to-face, telephone, or online
o Standard NHS working hours, with some flexibility required
Person Specification
Qualifications
* Excellent typing and IT skills
* Good knowledge of confidentiality and data protection (GDPR)
* Strong attention to detail and accuracy
* Knowledge of System One clinical IT system
* Strong understanding of medical terminology
* Ability to prioritise workload in fast-paced environment
