We are looking for an

Engineering Operations Administrator

to join our account teams supporting a new contract operating across the UK at Thermatic Technical FM.

Thermatic Technical FM provide complete nationwide coverage, across the full spectrum of Hard FM services to large, commercial clients. Our team of mobile engineers are supported by the account teams at Head Office to provide both reactive breakdown and planned maintenance services to our clients.

As a Thermatic Operations Administrator you are a member of the Operations team. The Operations Team’s main aim is to deliver agreed services to our customers with the upmost standard and efficiency, whilst maintaining and delivering all cost lines. As an Operations Administrator you will support this purpose by reviewing and validating all timesheet entries for the remote engineers, ensuring the timesheets accurately reflect the time engineers have taken to attend jobs and complete work-related tasks. Other duties include approval of engineer expenses, ordering of engineer uniform and collating engineer absences.

Hours & Location of Work:

Main location - Thermatic Head Office, Salford. Opportunities to work remotely for a portion of the working week will be available

Regular hours of work - Monday to Friday, 8am to 5pm - 40 hour working week

Skills, Experience & Qualifications:

Administration experience Previous experience in time sheet management or similar administrative duty (Desirable) Computer literate, Microsoft office Strong communication skills Collaborative approach to working Attention to detail and strong organisational skills Good time management Outstanding problem-solving skills Strong interpersonal skills to deal with different engineers and departments within the business Analytical skills for analysing time sheet data Multitasking and time management skills to manage multiple tasks at the same time

Responsibilities include:

Review and validate daily time sheet entries using our Operations System (Job Logic) Compare travel time between Job Logic and our Fleet Trackers to validate entries. Identify missing time sheet data and engage with the Operations team to correctly assign the time. Liaise with engineers when discrepancies are identified to resolve and communicate changes to timesheets. Work alongside the finance team to ensure engineers are paid accurately for overtime worked. Assist with the logging of engineer activities on our Operations System (Job Logic). Ensure absences, holidays and sickness are recorded accurately with a keen eye for detail. Processing of engineer’s expense claims Other ad-hoc administrative duties that may be required by the Operations team. Use a collaborative approach across your team and the wider business. Contribute to team meetings and discussions. Ensure to celebrate success and recognise contribution and great work. Awareness of skillsets and location of engineers. Comply with the monthly payroll cut-off timings to ensure engineers are paid accurately. Prioritise and ensure the safety of yourself and your colleagues at all times. Identify and escalate any hazards, near misses in line with the Company’s reporting procedures.
