A leading global investment firm is seeking an exceptional Executive Assistant to support a busy deal team within its London office. This is a temp‑to‑perm opportunity offering exposure to a highly collaborative, international platform spanning London, New York, Amsterdam and Hong Kong.
This role is ideal for a confident EA who thrives in a fast‑moving private equity environment, excels at supporting multiple senior professionals simultaneously, and is energised by complex logistics, global coordination and constant activity.
The Role
You will provide seamless administrative and organisational support to a multi‑stakeholder deal team. The position demands exceptional attention to detail, strong judgement, and the ability to manage many moving parts at once.
Key responsibilities include:
1. Coordinating and scheduling internal and external meetings, including those with senior managers and fund heads
2. Managing busy, multi‑time‑zone diaries for several team members
3. Handling complex multi‑leg international travel (visas, flights, hotels, ground transport) using preferred corporate travel partners
4. Registering team members for conferences and AGMs, and coordinating logistics around these events
5. Liaising across global offices to support cross‑border workflows and team processes
6. Maintaining CRM systems and contact databases; uploading notes, meeting records and deal‑related information (DealCloud)
7. Tracking mobility and compliance requirements (Blackspark)
8. Preparing and processing expenses through Concur
9. Conducting ad‑hoc research on managers, prospects and clients using Preqin, LinkedIn and internal tools
10. Providing general administrative support: VC set‑ups, call handling, copying, binding, scanning business cards, etc.
11. Maintaining confidentiality and handling sensitive information with professionalism
12. Supporting improvements to operating practices and assisting with office‑wide procedures
13. Fire warden responsibilities and occasional holiday cover for other EAs
What They’re Looking For
Candidates without relevant private equity or investment‑team EA experience are unlikely to be considered.
The ideal candidate will bring:
14. 4+ years’ experience supporting senior stakeholders in a demanding, fast‑paced environment
15. Strong diary and travel management skills, ideally gained in private equity, investment management or a similar setting
16. Exceptional attention to detail and organisational capability
17. Confidence supporting multiple busy travellers with shifting priorities
18. Excellent Microsoft Office skills (Outlook, Word, Excel; PowerPoint a plus)
19. Experience with Concur and/or CRM systems (Salesforce, DealCloud, etc.) preferred
20. A proactive mindset and the ability to work both independently and collaboratively
21. Strong written and verbal communication skills
22. High levels of discretion, accuracy and follow‑through
23. Flexibility to work overtime or be reachable when the team is travelling
24. Deal-team experience is key here
