The Air Ambulance Service provides two very important functions, Helicopter Emergency Medical Services (HEMS) and The Children’s Air Ambulance (TCAA) which provides paediatric transfers across the UK. Our objective is to save lives, utilising specialist pilots, doctors, and paramedics and with our work centered on saving lives, improving clinical outcomes and being able to react quickly and efficiently to emergencies. Job Title: Facilities Administrator Location: Rugby - Hybrid (40% office based) Full Time: 37.5 hours Annual Salary: £25,500 Closing Date: 23rd May 2025 Interview date: 28th May 2025 Job Purpose The Facilities Administrator is responsible for administering all facilities compliance, planned and reactive works while providing an agile responsive to stakeholder’s needs in a timely manner. Key Responsibilities • Assist in ensuring an efficient service is delivered to internal clients. • Manage the day to day running of the Facilities inbox - logging reactive jobs, appointing contractors and updating stakeholders on progress, ensuring work is completed to a good standard in a timely fashion. • To maintain accurate records in accordance with the PPM schedule and make available as required. • Plan in PPM work when required and consult with contractors and shop on planned maintenance. • Provide monthly reports of reactive works and compliance beginning of each month. • Generate quotations as and when required. • Complete POs and invoice processing process for all required works. • Maintain contractor database/compliance. • Ensure all contractor works have a risk assessment and method statement. • Responsible for hard and soft facilities and compliance/checks for head office. • Act as Office Manager for head office including opening site, managing access control, supplies, etc. • General administrative support for Facilities and Property. The role is subject to a Basic DBS check.
