The role
The Studio Executive Assistant will act as a trusted gatekeeper, coordinator, and right hand to The Brand Muse founders. You’ll work proactively to manage competing priorities and ensure our founders can operate at their most effective, anticipating what’s needed before it’s asked, managing complexity with calm, and bringing a level of initiative and professional polish that means nothing is left to chance.
This role requires someone who thrives working with people and brings a genuine passion for the branding and marketing industry. You’ll be as comfortable preparing a briefing document or researching a new business opportunity as you are coordinating onboarding, managing a CRM pipeline, or ensuring a client portal is ready to go. The operational and the executive are equally yours to own.
What you’ll be doing
• Proactive, advance management of the founders’ diaries with 2–3 months forward visibility, no clashes, no gaps, no last-minute surprises
• Monitoring and triaging the founders’ inboxes daily, managing communications on their behalf where appropriate
• Preparing agendas and briefings ahead of all meetings
• Carrying out research to support business decisions, new business development and client work
• Coordinating expenses and managing the flow of communications between the founders, the team, clients and external partners
• Proposing and arranging travel and accommodation well in advance
• Maintaining CRM accuracy and pipeline hygiene in Notion
• Coordinating client onboarding end-to-end, ensuring every touchpoint feels seamless and premium
• Preparing weekly ops and sales snapshots ahead of team meetings
• Tracking studio capacity and flagging risks early
• Managing proposal follow-up cadence and outstanding contracts
• Attending client meetings, photoshoots and events with or without founders as required
What we’re looking for
Essential
• 3+ years of experience as an Executive Assistant supporting a senior leader or founder in a fast-moving, service-based environment
• Previous experience in a creative agency, branding, marketing or similar industry
• Exceptional organisational and multitasking skills with keen attention to detail
• Strong written and verbal communication; professional, considered and clear
• A natural relationship builder with the interpersonal skills to engage confidently with a wide range of stakeholders
• Assertive, forward-thinking and a proactive problem solver, always one step ahead
• The ability to maintain discretion and confidentiality at all times
• A calm disposition under pressure with the ability to reprioritise on the fly
• Tech proficient; advanced proficiency in Microsoft Office and Canva
• A valid driving licence and access to a vehicle (our studio is not accessible by public transport; occasional travel to client meetings, shoots and events is also required)
• A genuine team player, comfortable working closely within a small, founder-led, female-championing studio
Desirable
• Familiarity with Notion (we use it extensively; prior experience saves time on both sides)
• Exposure to branding, social media or digital marketing workflows
• Experience supporting multiple founders or senior stakeholders simultaneously
Working pattern & pay
3–4 days (25-30 hours) per week. Three days in our studio (Monday, Tuesday and Thursday). £25–£35 per hour, depending on experience.
