An establishedcharity based in Edinburgh is seeking an experienced and highly organised Senior Administrator to join their team. This organisation is looking for someone who can bring strong administrative expertise to a busy and rewarding environment. This is a temporary opportunity with potential for extension, and an immediate start is preferred.
Your new role
As a Senior Administrator, you will play a key role in ensuring the smooth and effective running of administrative functions across the organisation. Working closely with senior staff and wider teams, you will provide high ‑ level support, streamline processes, and help maintain excellent service delivery in a fast ‑ paced, purpose ‑ led setting.
Your responsibilities will include:
1. Preparing, reviewing and issuing high ‑ quality correspondence, reports and documentation with accuracy and attention to detail
2. Acting as a key point of contact for internal and external enquiries, handling queries professionally and sensitively in line with the organisation’s values
3. Supporting senior leaders and teams with meeting coordination, including scheduling, agenda preparation, minute ‑ taking and tracking follow ‑ up actions
4. Maintaining and improving records, databases and filing systems, ensuringpliance and easy access to information
5. Managing shared inboxes and coordinating workloads, prioritising tasks effectively to meet deadlines and service expectations
6. Identifying opportunities to improve administrative processes and contribute to greater operational efficiency
What you'll need to succeed
7. Proven experience in a senior or advanced administrative role, ideally within the charity, public sector, or a similarly fast ‑ paced environment
8. Strong organisational and coordination skills, with the ability to managepeting priorities
9. Excellent communication skills, both written and verbal, with a professional and empathetic approach
10. High level of accuracy and attention to detail, particularly when handling documentation and data
11. Confidence using Microsoft Office and database systems, with the ability to quickly learn new tools and processes
12. A proactive mindset and the ability to work independently while supporting a collaborative team environment
