Our client is looking for a proactive and highly organised Facilities Coordinator to join their team at one of their prestigious sites in Burton-on-Trent. The role exists to support day-to-day facilities management, coordinate both planned and reactive maintenance, and ensure a high standard of service for employees, contractors, and visitors. This opportunity is ideally suited to someone with a background in property or maintenance management who thrives in a dynamic environment and takes pride in delivering exceptional service.
Duties:
* Arrange and schedule subcontractor PPM (Planned Preventive Maintenance) visits.
* Support the Contract Manager with quotations and additional works.
* Provide daily assistance to the Contract Manager across building operations and maintenance tasks.
* Attend and contribute to operational meetings to ensure smooth service delivery.
* Input and maintain accurate data in Maximo (the client’s CAFM system)
* Deliver a professional and welcoming reception service for visitors and staff.
* Oversee visitor registration, access, and escorting procedures.
* Handle incoming and outgoing mail and parcel distribution.
* Provide information and assistance regarding office amenities and services.
* Monitor ongoing works and review progress regularly.
* Maintain and update supplier information and customer records.
* Prepare correspondence, materials, and schedules for engineers and subcontractors.
Knowledge, Skills & Experience
* At least 3 years’ experience within maintenance or property management (Essential).
* Working knowledge of Facilities Management practices and processes.
* Professional appearance and excellent interpersonal skills for front-facing duties.
* Positive, proactive attitude with strong problem-solving abilities.
* Proficient in Microsoft Office packages.
* Familiarity with any of the following systems is desirable: Maximo, Aqua Adept, Nimbus, Contractor Management Package, or Post System.
