Our Professional Department team are based in Shoreditch. Our key valuation teams is seeking a proactive, confident, and highly organised individual to take ownership of the administrative workflow supporting valuation instructions and the overall team.
This role is critical to the smooth running of the team and to maintaining high standards of client service, turnaround times, and internal efficiency.
The successful candidate will provide high quality administrative and operational support to surveyors, acting as a central point of coordination for instructions, communications, and documentation. As the role involves multiple software packages, the ideal candidate will have excellent knowledge of Microsoft Office and a good working knowledge of CRM systems.
Key Responsibilities
Manage and coordinate valuation instructions from receipt through to report issue, ensuring files progress efficiently and in line with agreed timescales
Manage instructions, leads and pipeline activity on the CRM system, maintaining accurate and up to date records
Act as a first point of contact for clients, lenders, brokers and agents, managing routine communications and providing clear progress updates
Liaise with clients and agents to arrange inspections and manage surveyor diaries and calendars efficiently
Collate, organise and maintain all relevant documentation including title information, plans, leases and comparable evidence to ensure files are inspection ready
Monitor report timings and proactively chase outstanding information to support timely report delivery
Prepare valuation reports for issue, review documentation for administrative completeness and raise invoices as required
Manage and control the flow of email correspondence, prioritising and directing matters appropriately
Answer incoming calls and deal with enquiries professionally, resolving routine matters independently where possible
Maintain organised digital and physical filing systems to ensure easy retrieval of information
Support the wider team with administrative coordination as required and contribute to the continuous improvement of processes
What We Are Looking for Our New Team Member to Bring
Strong IT skills with proficiency in Word, Excel and PowerPoint and confidence using CRM systems
Excellent organisational skills with the ability to manage multiple live instructions simultaneously
Strong prioritisation skills and the ability to manage deadlines effectively
Confident and professional communication skills with the ability to liaise with clients and senior professionals
Ability to work calmly and accurately under pressure
A proactive and solutions focused approach with the confidence to take ownership of tasks
Ability to work independently while contributing positively as part of a team
Strong attention to detail and pride in producing high quality work
Ability to solve problems quickly and escalate issues appropriately when required
This is a full-time office-based position at Telephone House, Monday to Friday, 9:00am to 5:30pm.
