Job Summary: We are looking for a highly organised and detail-oriented Administrative Specialist to provide high-level support to individuals and teams. The ideal candidate will have strong administrative skills, the ability to manage multiple tasks efficiently, and experience working with minimal supervision in a fast-paced environment. This role involves document preparation, diary management, data coordination, and providing guidance to junior staff. Key Responsibilities: Document Management: Edit, proofread, format, and produce professional documents, reports, and presentations. Data & Records Management: Maintain accurate electronic and paper filing systems, ensuring efficient retrieval and confidentiality. Diary & Meeting Coordination: Schedule and organise meetings, manage diaries, and arrange travel itineraries. Communications Handling: Screen and direct phone calls, emails, and post, responding or escalating as appropriate. Team Support: Assist with training, delegating, and reviewing the work of junior administrative staff. Process Improvement: Identify opportunities to enhance administrative processes for greater efficiency. Qualifications & Skills: Experience: Proven experience in an administrative or secretarial role, preferably in a corporate environment. Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and document management systems. Organisational Skills: Strong attention to detail with the ability to prioritise tasks effectively. Communication: Excellent verbal and written communication skills. Problem-Solving: Ability to resolve non-routine issues independently. Leadership: Experience guiding or mentoring junior staff is desirable. Education & Certification: Vocational or technical qualification in business administration or a related field is preferred. Equivalent work experience will also be considered. Work Environment: This role is based in an office setting with standard working hours. Hybrid/remote working options may be available, subject to business needs. This is an excellent opportunity for an experienced administrative professional to take on a senior support role while contributing to the smooth running of daily operations.
